What are the responsibilities and job description for the Records Technician I position at Cobb County Government?
The purpose of this classification is to properly store, maintain, or destroy records for all County Departments in accordance with local, state and federal records retention guidelines and to process records requests.
This position requires completion of a data entry skills testing to move forward in the hiring process. The skills testing information and link will be sent via email after the closing date of this job announcement for applications received that successfully meet the qualifications for this position. Skills testing must be completed within three business days.
Please note, failure to complete the assessment will disqualify you from consideration for this positionReceives routine records requests and prepares records for transport: receives, reviews, logs, and sorts records requests from County personnel; locates and retrieves requested records; sorts records by department; prepares records receipts; and prepares records for transport.
Processes returned records: receives, sorts, and logs returned records; returns records to proper location; and contacts County personnel regarding any discrepancies or errors.
Retrieves records for storage: travels to County office requesting records transfer; identifies, verifies, and labels records; loads and unloads boxes; and sorts, stacks, and stores records in designated order and location. Ensures records are received in proper storage boxes and are properly stored.
Performs customer service functions: answers routine questions and provides information regarding records management and records retention policies and procedures.
Processes invoices: receives and sorts invoices; verifies for accuracy and completeness; codes and enters invoices into database; and submits for payment.
Prepares documents for destruction: prepares and submits list of files/boxes scheduled for destruction to department for approval; locates and pulls approved files/boxes; and prepares files/boxes for pick-up from vendor.
Prepares records for transport by the approved microfilming vendor; vendor delivers completed rolls of microfilmed and compact disks records to records services office; records services office delivers to the appropriate departments for review; records are confirmed for accuracy and completion; vendor transports the boxed (paper) records to the records management office for destruction by the approved vendor.
Ensures microfilm is accurately placed in the management system for tracking purposes.
Performs other related duties as assigned.
Minimum Qualifications
High School Diploma or GED required; supplemented by one year of experience in records retention and management, customer service or related field.
