The Front Office Representative plays a key role in ensuring a positive patient experience by managing check-in and check-out procedures, scheduling appointments, collecting payments, and maintaining accurate patient records and accounts.
Key Responsibilities:
- Greet and assist patients and visitors in person and over the phone, providing excellent customer service.
- Schedule appointments efficiently to optimize provider availability and treatment room use.
- Monitor patient flow and communicate delays to providers when necessary.
- Answer patient inquiries and help ease anxieties, maintaining a calm and welcoming reception area.
- Maintain and update patient records and accounts with accurate personal and financial information.
- Collect co-pays, balance, and assist with billing and credit policies as needed.
- Maintain office supplies and equipment by monitoring inventory and ordering as necessary.
- Assist during patient emergencies by following established protocols.
- Ensure patient privacy and confidentiality are always maintained.
- Follow office policies and procedures, and recommend improvements where applicable.
- Collaborate with team members to support overall office efficiency and patient satisfaction.
- High School Diploma or equivalent required.
- Minimum 1 year of experience in a medical office or healthcare setting.
- Strong customer service and communication skills.
- Ability to multitask and stay organized in a fast-paced environment.
- Proficient in scheduling, word processing, and general office software.
- Professional demeanor with a team-oriented mindset.
- Strong attention to detail and time management skills.
