Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently
- Handle all front desk responsibilities including scheduling appointments, maintaining calendars, and coordinating meetings
- Perform data entry, filing, and document proofreading to maintain accurate records and organized files
- Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks
- Support office operations by managing supplies inventory, processing invoices, and assisting with bookkeeping tasks
- Provide exceptional customer support through professional phone etiquette and personalized assistance
- Assist with clerical duties such as photocopying, faxing, and maintaining organized digital and physical filing systems
Skills
- Proven experience in office management or administrative support roles with strong organizational skills
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and data entry systems
- Familiarity with multi-line phone systems and professional phone etiquette
- Bilingual abilities are highly valued to serve diverse client needs effectively
- Experience with QuickBooks or bookkeeping software is a plus for handling financial records
- Excellent typing speed and accuracy for efficient data entry and correspondence
- Strong attention to detail for proofreading documents and maintaining precise records
- Ability to manage time effectively in a fast-paced environment while prioritizing tasks efficiently
- Previous experience as a dental or medical receptionist is advantageous but not required; relevant personal assistant experience is also beneficial
