Key Responsibilities
Executive & Personal Assistant Support
- Provide high-level administrative support to ownership.
- Manage calendars, schedule meetings, coordinate travel, and handle correspondence.
- Assist with personal and business-related errands, reservations, and appointments.
- Prepare reports, presentations, and maintain confidential records.
- Handle sensitive information with absolute discretion and professionalism.
Project Coordination
- Serve as a liaison between the company, clients, consultants, and governmental agencies.
- Coordinate team and consultant schedules, meetings, and deliverables across multiple active projects.
- Prepare and track proposals, contracts, and project submittals.
- Monitor deadlines, follow up with municipalities, and assist with permitting or entitlement processes.
Property Management Support
- Coordinate maintenance, repairs, and vendor schedules for commercial and residential properties.
- Prepare and track lease documents, rent collections, and tenant communications.
- Maintain organized property files, service contracts, and compliance documentation.
- Support property inspections, renewals, and owner reporting.
Accounting & Office Support
- Assist with QuickBooks entries, invoicing, accounts payable, and receivables.
- Maintain organized electronic and hard copy filing systems.
- Support office operations and team efficiency.
Qualifications
- 2 years of executive assistant, project coordination, or property management experience.
- Strong knowledge of Microsoft Office Suite and QuickBooks;
- Exceptional attention to detail and follow-through.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to handle multiple priorities and work independently with minimal supervision.
- We are seeking a candidate with fast and accurate typing skills
- High level of integrity, discretion, and professionalism.
