Position Summary:
CMSP Associates is seeking a dependable and detail focused Order Entry / Accounts Receivable Coordinator to support both office operations and financial processes. This dual function role is ideal for someone who is organized, adaptable, and comfortable balancing clerical responsibilities with A/R tasks in a dynamic office environment.
Key Responsibilities:
Administrative Support Duties:
- Professionally manage incoming calls via a multi-line phone system; take accurate messages and direct calls as appropriate.
- Perform high-volume data entry tasks quickly and accurately.
- Scan, copy, and organize electronic and physical files and documents.
- Prepare and route documents for internal approval and signature processes.
- Maintain orderly filing systems and retrieve documents efficiently from file drawers, cabinets, or storage.
- Assist with scheduling meetings, coordinating calendars, and supporting general office logistics.
- Provide backup administrative support across departments as needed.
Accounts Receivable Duties:
- Prepare and distribute customer invoices promptly and accurately.
- Post and reconcile payments to customer accounts; address and resolve payment discrepancies.
- Monitor outstanding balances and follow up on overdue invoices professionally.
- Maintain up-to-date A/R records and documentation.
- Generate and review aging reports; support collections and reporting activities.
- Collaborate with other teams to resolve billing or payment-related issues.
- Contribute to the A/R closing process at month-end.
Qualifications:
- High school diploma or GED required; coursework in accounting or business administration preferred.
- Must be bilingual in English/Spanish
- 1–2 years of experience in an administrative or accounts receivable role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Prior experience with accounting software such as Sage BusinessWorks is a plus.
- Strong attention to detail and organizational skills.
- Clear written and verbal communication abilities.
- Ability to handle multiple tasks and work under deadlines.
- Professional demeanor and a commitment to confidentiality.
Work Environment:
- Office based, Monday-Friday.
- Occasional overtime may be needed during peak periods or month-end closing
