We are seeking a highly organized and detail-oriented Sales Administrative Assistant to support our growing team. The ideal candidate is dependable, efficient, and comfortable handling multiple administrative tasks while maintaining a high level of accuracy.
Position Summary
The Sales Administrative Assistant will provide direct support to the Sales Manager by managing schedules, entering customer orders, maintaining accurate records, preparing invoices, tracking invoice status, and assisting with day-to-day sales operations. This role plays an important part in keeping communication clear, records organized, and workflows moving smoothly between customers, the sales team, and internal departments.
Responsibilities
- Manage and organize the Sales Manager's daily schedule and appointments
- Perform accurate data entry and maintain company records
- Process customer orders and enter orders into company systems
- Prepare and email invoices to customers
- Track invoices, payments, and outstanding accounts
- Maintain organized digital and physical filing systems
- Communicate professionally with customers, vendors, and team members
- Assist with sales reports and administrative projects
- Support daily office operations and special projects as needed
Qualifications
Required
- High School Diploma or GED
- Proficiency with Google Workspace, including Gmail, Google Docs, Google Sheets, Google Calendar, and Google Drive
- Excellent attention to detail and accuracy
- Strong organizational and time-management skills
- Ability to manage multiple priorities and meet deadlines
- Professional written and verbal communication skills
- Self-motivated with a positive attitude
- Ability to work independently and as part of a team
- Must reliably commute to the office in Hastings, FL
Preferred
- 1 year of administrative or office support experience preferred
- Typing speed of 50 WPM preferred
- Experience with invoicing, accounts receivable, and order entry
- Experience using QuickBooks
- Experience maintaining schedules and coordinating calendars
- Customer service or sales support experience
- Experience working in a fast-paced office environment
