This position supports the college mission of educating tomorrow’s workforce through supporting CPTC student parents and community members with childcare support. The Office Assistant will provide welcoming front desk customer service, triage needs, respond to general inquiries, communicate with families, maintain files and records, answer phones, manage the ProCare attendance system, respond to voicemails and emails, and assist with related childcare projects. Flexibility is important as the traffic flow varies throughout the day and supporting teacher break coverage in the classroom may vary week to week. This job description has been designed to indicate the general nature and level of work performed by employees within this classification. While the full annual salary range for this role is $48,555.72 to $63,361.08, successful candidates are typically hired at the beginning of the salary range (Level A, Step 3) and receive scheduled salary increment increases in accordance with the applicable Collective Bargaining Agreement.

This position is represented by the Clover Park Federation of Classified Employees, Local 4789.Duty: Student and Family Support/Customer Service
 Tasks include:
  • Welcome visitors to Hayes Childcare Center.
  • Triage student/family/visitor needs and appropriately refer them to next steps/services.
  • Assist students with scheduling appointments with Hayes staff.
  • Answer multi-line phones, return calls and voicemails, and place calls as needed to students, faculty, staff, families, and community partners.
  • Monitor Hayes general emails and respond to inquiries or refer to appropriate staff as needed.
  • Assist visitors/families with monitoring/tracking requirements, grant expectations, and general information about application processes.
  • Provide general information regarding resources and services to families.
  • ProCare management to track attendance.
Duty: General clerical/office duties and administrative support
Tasks include:
  • Prepare intake application materials and handouts/communication for families as needed.
  • Type correspondence, photocopy, scan, and email as required.
  • Create and maintain shared files and other electronic spreadsheets as needed.
  • Maintain outreach materials and resource information.
  • Assist the Hayes Director and FSS with related projects as assigned.
  • Requisitions and P-card purchases
Duty: File Management
Tasks include:
  • Review intake/application packets for completeness; maintain student files both physical and electronic, per contract and college standards.
  • Maintain family/child files to ensure they are neat, complete, and orderly in accordance with the filing system and program standards.
  • Adhere to FERPA regulations with regards to student personal information and confidentiality requirements.
  • Assist Hayes Director and FSS with preparation of student files and records for archive in accordance with college standards.
  • Manage sign in sheets.
Duty: Contribute to college strategic plan, enrollment plan, and various Dept and Division goals/outcomes
Tasks include:
  • Participate in professional development opportunities and staff meetings
  • Participates in equity, diversity and inclusion efforts to help eliminate equity gaps
  • Assists with data reporting
  • Other related duties as assigned to support the broader Student Success department
  • Shared Governance meetings to support CPTC
Duty: Other duties as assigned to support Hayes licensing requirements, including class ratio
Tasks include:
  • Maintenance requests
  • Classroom coverage
  • Fire drill support
  • High School Diploma or equivalent.
  • Strong interpersonal and communication skills and proven quality customer service.
  • Six months of clerical/administrative assistant work experience in a professional office environment or educational setting.
  • Proficient with technology to include Microsoft Office Suite and Microsoft Teams
  • Ability to multitask in a busy office environment while providing professional and courteous customer service.
  • Excellent oral and written communication skills.
  • Show initiative, use good judgement and be a self-starter.
  • The ability to contribute to the college's commitment to diversity by fostering a climate of multicultural understanding and appreciation.

Clover Park Technical College is located in Lakewood, Washington. Our college has a rich history of professional and technical education dating back to the 1940s, when Clover Park School District established a War Production program, training civilians as auto mechanics,aircraft-service mechanics, ship-fitters, welders and blueprint readers. Now, CPTC offers more than forty programs in Aerospace, Advanced Manufacturing, Health Sciences, Human Services, Business, Hospitality, Science Technology, Engineering, Transportation and Trades.
