Clover Park Technical College (CPTC) is seeking a highly organized and proactive Administrative Assistant to support key academic functions, including Accreditation, Outcomes & Assessment, Curriculum Management, and general administrative operations. The ideal candidate will be enthusiastic about contributing to a collaborative and inclusive campus environment, supporting the college’s mission and strategic plan, and demonstrating a strong commitment to advancing CPTC’s equity goals. 

In this role, the Administrative Assistant will exercise discretion and independent judgment to coordinate accreditation activities, manage assessment data, maintain curriculum records, and support a wide range of administrative projects. Working closely with the Vice President for Instruction, faculty, deans, and committees, the successful candidate will ensure processes run smoothly, information is communicated clearly, and documentation meets institutional and accrediting standards. This position is essential to the college’s ability to maintain high-quality programs, support equitable student outcomes, and foster effective collaboration across the institution.

Tasks include:
  • Organize, maintain, and archive all accreditation-related documents and reports. 
  • Coordinate accreditation meetings, site visits, and workshops; prepare agendas and minutes. 
  • Track accreditation timelines, deadlines, and submission requirements; send reminders to stakeholders. 
  • Serve as liaison for accreditation communications between committees, leadership, faculty, and accrediting bodies. 
  • Arrange logistics for accreditation events, including travel, rooms, and technology setup. 
  • Assist in ensuring accreditation materials meet required standards and guidelines.

Duty: Work with the Vice President for Instruction and Director of Outcomes Assessment and Curriculum Development to support the curriculum development and catalog production processes 
Tasks include: 
  • Support the curriculum review process and state board PAR submissions. 
  • Assist faculty in preparing and reviewing curriculum proposals for completeness and compliance. 
  • Manage curriculum documentation and update the curriculum webpage and catalog.
  • Serve as administrator for curriculum and catalog management platforms (e.g., Watermark). 
  • Coordinate with Curriculum Review Committee, academic deans, Student Success, and Marketing to publish accurate and timely catalogs. 
  • Communicate curriculum and catalog changes effectively to all collaborators.

Duty: Work with the Director of Outcomes Assessment and Curriculum Development to support the outcomes and assessment process.
Tasks include: 
  • Create and communicate quarterly schedules for CLO/CWLO assessments and course evaluations. 
  • Collect, clean, code, and prepare data for outcomes assessment and course evaluation projects using college data platforms. 
  • Maintain the Outcomes Assessment webpage, uploading relevant documents and updates. 
  • Coordinate assessment-related meetings; take minutes and prepare related materials. 
  • Maintain confidentiality of assessment data and materials. 
  • Build professional relationships with faculty, staff, students, and external partners to support assessment efforts.

Duty: Provide administrative support to the Director of Outcomes Assessment and Curriculum Development 
Tasks Include:
  • Liaise with college departments to support committees, planning of in-services, and other events (e.g., Outcomes & Assessment Day, Inservice Days, professional learning). 
  • Attend and actively participate in relevant meetings as requested. 
  • Prepare travel forms, arrange travel, process purchase requisitions, and assist with budget tracking and reporting. 
  • Organize event logistics, scheduling, and communications. 
  • Maintain professional, courteous relationships with instructors, staff, students, and external organizations.
  • Strong proofreading skills, including attention to details and accuracy in office work

  • Associate's Degree or Four years of experience.
  • Strong organizational skills to help keep multiple long-term projects on track for timely completion. 
  • Evidence of ability to clearly, concisely and effectively communicate with others both in writing and orally. 
  • Demonstrated commitment of a diverse workforce and equitable student outcomes.

Clover Park Technical College is located in Lakewood, Washington. Our college has a rich history of professional and technical education dating back to the 1940s, when Clover Park School District established a War Production program, training civilians as auto mechanics, aircraft-service mechanics, ship-fitters, welders, and blueprint readers. Now, CPTC offers more than forty programs in Aerospace, Advanced Manufacturing, Health Sciences, Human Services, Business, Hospitality, Science Technology, Engineering, Transportation and Trades.

CPTC has two campuses: Our main campus is located in Lakewood, WA, and our South Hill Campus is located in Puyallup, WA.
