Overview:
- Location: Troy, NY (hybrid - 3 days/wk onsite)
- Salary: $55,000 to $65,000/yr
We are seeking an experienced and highly organized Recruiting Coordinator to support the daily operations of our talent acquisition team. This role plays a critical part in ensuring recruiting workflows, candidate data, onboarding activities, interview coordination, and ATS management are executed accurately and efficiently.
The ideal candidate thrives in a fast-paced staffing environment, demonstrates strong attention to detail, and can effectively partner with recruiters, leadership, HR, account managers, and clients throughout the recruitment lifecycle.
Key Responsibilities:
- Coordinate and schedule interviews between candidates, recruiters, hiring managers, and clients.
- Perform quality assurance reviews of candidate profiles, submissions, and recruiting documentation.
- Maintain accurate and up-to-date candidate records within the Bullhorn ATS/CRM, ensuring compliance and data integrity.
- Support Talent Management reporting by tracking recruiting metrics, pipeline activity, and operational data.
- Partner closely with Recruiting leadership, recruiters, HR, and account managers to ensure adherence to recruitment processes and service delivery expectations.
- Create, update, and manage job postings within Bullhorn ATS, ensuring job description accuracy and consistency.
- Complete client-required employment and government-related documentation, coordinating directly with candidates and recruiters as needed.
- Manage pre-onboarding activities, including offer package distribution and onboarding workflow support through Bullhorn Onboarding.
- Assist with offboarding activities and employee record maintenance as needed.
Mandatory Qualifications:
- 4 – 7 years of experience in recruiting coordination, talent acquisition operations, HR administration, or staffing support roles.
- 2 years experience within ATS/CRM platforms, preferably Bullhorn ATS/CRM.
- Experience supporting onboarding and offboarding processes.
- 3 years experience with Microsoft 365 productivity tools Office Suite, including Outlook, Teams, OneDrive, SharePoint, Word and Excel.
- Excellent organizational and time-management skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills with the ability to interact professionally across all levels of the organization.
- High attention to detail with a strong sense of accountability and follow-through.
- Ability to work independently, prioritize effectively, and proactively resolve operational issues.
- Comfort using generative AI tools (ChatGPT, Claude, or similar) in day-to-day work, with sound judgment about when AI output needs human verification or escalation.
Preferred Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent professional experience.
- Previous experience working within a staffing agency or recruiting firm environment.
- Experience supporting public sector clients or familiarity with New York State hiring and compliance processes.
- Experience with onboarding platforms.
- Experience with Paycom HRIS
- Experience using AI tools specifically in recruiting workflows, candidate QC, job description drafting, resume analysis, including familiarity with prompt construction and validation against source materials.
