We are hiring an Administrative and HR for our new office in San Mateo.

JOB DESCRIPTION
General Administration:
- Coordinate office activities and operations to secure efficiency and compliance to company policies
- Manage agendas/travel arrangements/appointments etc. for the upper management
- Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Create and update records and databases with personnel, financial and other data
- Track stocks of office supplies and place orders when necessary
- Submit timely reports and prepare presentations/proposals as assigned
- Assist colleagues whenever necessary
HR Administration:
- Recruitment/On- boarding/Off-boarding
- Responsible for job posting, sourcing of candidates, preliminary CV screening, Doing setup of interview arrangements to ensure good candidate experience throughout the process.
- Responsible for pre-onboarding, on-boarding, Day 1 HR activities to ensure pleasant experience for new hires.
- Pre-onboarding activities include and not limited to preparation of employment-related documents, pre-employment checks, work pass applications (where applicable), liaising with other departments to prepare for arrival of new joiners.
- On-boarding activities include and not limited to Day 1 Welcome & HR briefing, basic office orientation and induction programs.
- Be responsible for off-boarding activities which include and not limited to ensuring compliant process (e.g.cancellation of work passes (where applicable),liaising with other departments on access and exit clearance.)
Daily Administration:
- First point of contact for employees’ queries on HR policies & procedures, welfare & benefits programs and HR systems/tools.
- Timely and accurate update of HRIS database
- Preparing various HR documents/letter, e.g., appointment letter, confirmation letter, role change letter, etc.
- Timely and accurate update of HRIS information in company intranet.
- Renewal of employee health insurance.
- Employee Leave Management.
Accounting Administration:
- Travel bill payments and etc.
- Taking care of their reimbursements, regular payments and checkup of expenses .
- Finance Management:
- Responsible for managing and controlling the accounting / financing matters by himself/herself or by outsourcing to the 3rd party accounting firm.
- Supporting the Director and/or other management to make Annual Budget and Mid-term Plan, and monitoring its progress and analyze the gap between Budget x Results.
- Responsible for managing the bank account.
- Responsible for managing the tax matters, with supports from outsourcing agencies if required.
- Responsible for being a contact window for the HQ in Japan for any finance related matters.
