Job Summary
We are seeking a highly organized and proactive Administrative Office Coordinator to assist in the daily operations of our office. The ideal candidate will possess strong organizational skills and commitment to professional conduct. This role requires excellent communication abilities, attention to detail, and the capacity to manage multiple tasks efficiently. The Administrative Office Coordinator will be responsible for ensuring smooth administrative processes while fostering a positive work environment.

Duties

  • Assist in daily office operations, ensuring efficiency and effectiveness in all administrative functions.
  • Facilitate vendor relationships, including negotiating contracts and maintaining service quality.
  • Coordinate company meetings and functions.
  • Ensure proper filing systems are in place for documentation and correspondence.
  • Provide clerical support as needed, including answering multi-line phone systems.
  • Foster a collaborative team environment through effective communication and organizational strategies.
  • Schedule, confirm, and update client appointments in the scheduling system.
  • Ensure proper documentation of scheduling changes for accurate record-keeping.

Requirements

  • Proven experience in an office administrative role.
  • Excellent organizational skills with a keen attention to detail.
  • Strong communication skills, both verbal and written, with effective phone etiquette.
  • Experience in medical/clinical office environment is preferred.
  • Ability to manage multiple priorities while maintaining a high level of professionalism.
  • Familiarity with vendor management practices.
  • Experience in training & development initiatives is a plus.
