The Human Resources Coordinator provides operational and administrative support across the employee lifecycle, with primary responsibility for managing the new hire and separation pipelines, coordinating onboarding logistics, supporting HR systems navigation, and serving as a Tier 1 resource for general employee and manager inquiries. This role ensures consistency, timeliness, and accuracy of core HR processes while appropriately escalating matters that require interpretation or judgment to the HR Business Partner (HRBP). The coordinator is a key administrative partner to the HR team and serves as a first point of contact for routine employee questions.

The employee must have reliable transportation. Travel for this position will be required up to 25%. While the primary workplace may be closest to the employee’s home, work assignments could be in any of the Company’s locations.

- Monitors candidate status throughout the pre-hire process in the Company’s ATS and ensures timely movement through each stage of the pipeline.
- Initiates onboarding communications with new hires, including welcome emails, pre-start instructions, and onboarding documents.
- Tracks and follows up on background screening status, including required documents, drug screening, and AHCA clearance.
- Tracks and verifies I-9 completion and supporting documentation in compliance with federal requirements and internal deadlines.
- Tracks completion of all onboarding paperwork and proactively contacts new hires to prevent delays in start dates.
- Creates employee profiles in the Company’s HR systems and ensures accuracy of new hire data at point of entry.
- Prepares and audits onboarding documentation for completeness, accuracy, and compliance with company standards.
- Coordinates orientation logistics and serves as backup facilitator, as needed.
- Prepares and sends resignation packets to departing employees in a timely and consistent manner.
- Tracks completion of separation documentation to ensure consistency and timeliness across all separations.
- Processes separations in ADP as directed by HR leadership.
- Maintains separation tracking records and reports to support data integrity and trend analysis.
- Provides basic, objective clarification of company policies to employees and managers.
- Assists employees with basic benefits navigation, escalating interpretive questions to the appropriate HR resource.
- Assists employees with ADP navigation, including paystubs, tax forms, direct deposit updates, and benefits access.
- Provides password reset and login guidance to employees and managers.
- Performs basic system troubleshooting prior to escalation to HRIS or vendor support.
- Maintains accurate, up-to-date employee records.
- Processes employee changes, including status updates, transfers, and other lifecycle changes, as directed.
- Drafts initial HR documents as needed, including letters, templates, and routine correspondence.
- Supports FMLA and ADA tracking by monitoring deadlines and documentation, and escalates any gaps, delays, or concerns to the appropriate HR staff.
- Responds to routine employee and manager questions and provides timely, professional service.
- Participates in and completes all mandatory trainings.
- Checks and responds to work e-mail throughout the workday.
- Maintains high-level of product and service knowledge.

- Associate's Degree from an accredited college or university WITH at least two (2) years of administrative or Human Resources experience; OR a Bachelor's Degree from an accredited college or university with at least one (1) year of administrative or Human Resources experience; OR an equivalent combination of education and/or experience.
- Must have knowledge of Internet and Microsoft Office software (MS Word, MS Excel, MS PowerPoint, MS Outlook).
- Must have excellent written and oral communication skills, including exceptional customer service and phone etiquette.
- Must be able to work individually as well as within a team.

- Three (3) or more years of related experience in Human Resources, including new hire onboarding and HRIS administration.
- Experience with ADP Workforce Now or comparable HRIS platform.
- Experience with ClearCompany or comparable Applicant Tracking System (ATS).
- Working knowledge of background screening processes in a healthcare setting.
- aPHR, PHR, or SHRM-CP certification.
