We have an immediate opening for an Accounts Payable Specialist.
The Accounts Payable Specialist supports the finance department by performing a variety of administrative accounting functions. This position is responsible for processing vendor invoices, handling high volumes of data entry, maintaining accurate financial records, assisting with sales tax reporting, and effectively communicating with vendors to resolve invoice discrepancies.
Key Responsibilities:
Accounts Payable (AP):
- Enter vendor invoices into the accounting system with correct coding and documentation.
- Match invoices with purchase orders and receipts where applicable.
- Ensure proper approvals and timely payment processing (checks, ACH, credit card).
- Maintain organized vendor files and monitor account balances.
- Communicate with vendors regarding billing questions or discrepancies.
Administrative & Sales Tax Support:
- Perform high-volume data entry with accuracy and efficiency.
- Assist with compiling and submitting monthly, quarterly, and annual sales tax reports.
- Maintain accurate digital and physical filing systems for financial records.
- Support month-end close by preparing reconciliations and reports as needed.
- Assist with audits by gathering documentation and supporting schedules.
Qualifications:
- High school diploma or equivalent required; associate degree in accounting or related field preferred.
- 1–3 years of experience in accounts payable, accounts receivable, or general bookkeeping.
- Strong data entry skills with high accuracy and attention to detail.
- Proficiency in Microsoft Excel and accounting software (e.g., QuickBooks, NetSuite, Sage).
- Basic understanding of accounting principles and sales tax regulations.
- Excellent communication skills.
- Ability to prioritize tasks, manage time effectively, and meet deadlines.
- Strong organizational skills and ability to maintain confidentiality.
Job Type: Full-time
Pay: $45,000.00 - $60,000.00 per year
