Responsibilities

  • Manage front desk operations, greeting visitors and clients with a warm, professional demeanor.
  • Operate multi-line phone systems, answer inquiries promptly, and direct calls efficiently using excellent phone etiquette.
  • Maintain organized filing systems, both physical and digital, including data entry and document management using Microsoft Office and Google Workspace tools.
  • Schedule appointments, coordinate calendar management for team members, and assist with meeting preparations.
  • Perform clerical duties such as proofreading documents, preparing correspondence, and managing office supplies inventory.
  • Handle bookkeeping tasks using QuickBooks or similar software to support basic financial recordkeeping and invoicing processes.
  • Provide customer support through effective communication channels, ensuring client needs are addressed promptly and professionally.
  • Assist with office management duties including organizing files, managing office equipment, and supporting day-to-day administrative operations.
  • Support personal assistant responsibilities such as travel arrangements or special project coordination when needed.
  • Maintain a professional environment by adhering to proper phone etiquette and demonstrating excellent organizational skills.
  • Contribute to a positive office atmosphere by providing exceptional customer service at all times.

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar).
  • Excellent computer literacy including data entry, proofreading, and document formatting.
  • Experience with QuickBooks or similar bookkeeping software is highly desirable.
  • Strong communication skills with the ability to handle multi-line phone systems effectively; bilingual abilities are a plus.
  • Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment.
  • Knowledge of office management practices including filing systems and supply management.
  • Customer service expertise with a friendly approach to client interactions; previous experience as a dental or medical receptionist is advantageous.
  • Familiarity with phone etiquette standards and professional interpersonal skills.
