Job Summary
We are seeking a dedicated and organized part-time Property Management Assistant to join our team. This role is essential in supporting the daily operations of vacation rentals, ensuring that properties are maintained to high standards while providing exceptional service to guests and clients. The ideal candidate will possess strong organizational skills, problem solving skills, leadership experience, some administrative experience, with cleaning experience being a strong plus.
What We’re Looking For:
Someone to assist with filling in daily gaps in operations and keep the “moving parts” of the business organized. Think of this role as an office assistant meets assistant manager. Are you a Type- A problem solver with a knack for organizing, attention to detail, and communication? Do you like to clean? You might be a good fit!
Responsibilities/Daily Routine
- Assist the chief operations officer with all “in the field” tasks necessary to keep property management running smoothly (driving to properties for necessary tasks, running errands, shipping items back to guests at UPS, picking up laundry or supplies etc) the goal of this role is to remove as much from the COO’s plate as possible.
- Lead all tasks related to our cleaning team ( prepping supplies, performing walkthroughs at properties to ensure they’re ready, providing feedback to team members)
- Communicate issues to clients regarding damages, low supplies, inspections etc.
- Manage office (you will typically “open” the office, keep it tidy and organized, prep supplies or documents needed for team members.)
- Coordinate with vendors in all departments to ensure daily operations run smoothly.
- Create and dispatch schedules for owners and vendors.
- Produce creative solutions for operations.
Requirements
- Six months to one year of experience as an assistant, manager, team leader, project coordinator or other related fields (this can include professional experience or voluntary and community experience.)
- Basic administrative skills (able to type, create and respond to emails, create telephone reception, filing, making copies, social media, iphone apps etc)
- Valid drivers license and RELIABLE vehicle that has recent maintenance (this position will involve driving.)
- Willingness to travel to outer Fenneville area (roughly 16 minutes from South Haven.)
- Availability on Saturdays (roughly 9am-4:30pm.)
- Morning availability most days.
- Clean criminal record.
- Friendly, professional, and upbeat demeanor.
- Willingness to clean properties in case of tight schedule or emergencies.
- A “roll-up your sleeves” attitude.
A Plus If:
- You are English/Spanish bilingual
- Live near South Haven area
- Have a “Type-A” personality type
- Have previous assistant experience
- Have experience with Google Doc and Slack
