Job Summary
Clark Testing is seeking an Administrative Assistant to support our analytical chemistry laboratory located in Jefferson Hills, PA. We’re looking for an individual capable of a variety of skills such as answering telephone calls; responding to email inquiries; copying, scanning, organizing, and filing documents; monitoring inventory; and ordering supplies used on a daily, weekly, and monthly basis. The Administrative Assistant reports to the Laboratory Manager and works closely with other departments such as Accounting, IT, and Sales.
Primary Duties
- Respond to telephone calls and email requests in a timely and professional manner.
- Answer the main line and provide coverage at the front desk coverage when needed.
- Purchasing:
- Gather supply needs from labs.
- Obtain quotes and consolidate vendors.
- Generate/process Purchase Orders.
- Receipt inspection and vendor invoice processing, which includes AP system entry.
- Invoicing:
- Generate and process invoices from the various LIMS (Laboratory Information Management System).
- Assist Accounting Dept. with month-end revenue balancing.
- Enter new customers into STAR accounting system.
- Perform other duties and tasks as needed and required by management.
Qualifications & Competency Requirements
- High School diploma or GED is required.
- Associate degree in accounting, business, or other related formal schooling/training is a plus.
- Prior experience of at least 2 years in an Administrative Assistant/Office Support role is required.
- Experience in a laboratory setting is a plus.
- Strong and courteous verbal and written communications skills are necessary for success in this role.
- Able to work well independently but equally as well in a team environment.
- Superior organizational skills and attention to detail are a must.
- Demonstrated proficiency in Microsoft Office, Word, and Excel is required.
- Must have ability to perform several tasks concurrently with ease and professionalism.
- Must be committed to producing quality work at all times while doing so in safe manner.
- Available to work a Monday - Friday daylight schedule but willing to occasionally work off-shift hours or overtime when special circumstances occur and may require it.
- Able to lift, carry, move, and transport objects of up to 40 lbs.
- Must have reliable transportation/be able to manage the daily commute to the office.
- Must be able to pass drug screening and background checks.
- Must be a US citizen.
This is a full-time, hourly position.
