Job Summary

We are seeking a dynamic and highly organized Construction Office Manager to oversee the administrative operations of our construction projects. Duties

  • Manage all administrative functions related to construction projects, including scheduling, document control, and correspondence.
  • Supervise office staff, providing training, support, and performance evaluations to foster a productive team environment.
  • Coordinate with vendors, subcontractors, and suppliers to ensure timely delivery of materials and services.
  • Oversee vendor management processes, including contract negotiations and performance assessments.
  • Handle human resources responsibilities such as payroll processing, employee onboarding, and maintaining confidential personnel records.
  • Utilize accounting software like QuickBooks for budgeting, bookkeeping, invoicing, and expense tracking to ensure financial accuracy.
  • Manage project schedules using Microsoft Office tools and spreadsheets to monitor deadlines and milestones effectively.
  • Maintain accurate records of project documentation, permits, invoices, and correspondence for audit readiness.
  • Facilitate communication between project managers, clients, contractors, and internal teams to ensure clarity and alignment on project objectives.
  • Oversee office operations including front desk management, multi-line phone systems, filing systems, and calendar management for project timelines.
  • Support event planning for company meetings or client visits as needed while ensuring professional presentation standards.
  • Handle client communication with professionalism and courtesy to foster strong relationships and ensure satisfaction.

Qualifications

  • Proven experience in office management within the construction or related industry; supervisory experience preferred.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with spreadsheets and calendar management tools.
  • Experience with accounting software such as QuickBooks or similar financial software is essential.
  • Knowledge of human resources processes including payroll administration and employee onboarding.
  • Excellent organizational skills with keen attention to detail; ability to manage multiple priorities simultaneously.
  • Effective communication skills for client interaction, team coordination, and vendor negotiations.
  • Background in bookkeeping or basic accounting practices; experience with budgeting is highly desirable.
  • Ability to handle confidential information discreetly while maintaining professionalism at all times.
  • Office experience in administrative roles such as front desk management or clerical support is advantageous.
  • Technical proficiency in office equipment including multi-line phones, fax machines, printers, and office software systems.
