Salary: Office Assistant I – Grade 52 Minimum: $732.05/week Midpoint: $878.46 Office Assistant II – Grade 53 Minimum: $837.61/week Midpoint: $1,005.14 Work Schedule: Monday-Friday 7:30am-4:00pm Job Description: PURPOSE OF POSITION: Under the direction of the Director – Power Generation or designee, performs administrative support for the Power Generation Department. Performs payroll functions as required including the Power Generation Management, Operations and Maintenance areas. Performs administrative support - preparing travel documents, scheduling meetings, maintaining confidential records, and filing. ESSENTIAL JOB FUNCTIONS: The following represent the core responsibilities of the Office Assistant I classification. Higher-level classifications are expected to perform these functions with increased proficiency, autonomy, and ownership. 1. Maintains and administers operational software including but not limited to ARCOS, Share Point, Concur, SCM, eLogger, and Carousel Digital Signage. May serve as a member of the implementation team tasked with replacing or implementing new software. Creates custom reports exporting & importing data from operation’s different databases for compliance reporting and required maintenance tracking. 2. Assists with maintaining departmental files, databases and records. Develops processes to reduce paperwork through the use of technology and software. 3. Files records, correspondence, and office forms in a systematic procedure and draws material from the files, databases, or spreadsheets as needed. 4. Provides administrative support to the Director – Power Generation including: opening and directing mail, taking customer and internal phone calls, meeting preparation, prepares outgoing correspondence, memorandums, minutes of meetings, reports, etc. Maintains central database information for Manager and area as required. 5. Provides administrative support to Power Generation Operations and Maintenance areas by assisting with meeting arrangements, meeting preparation, communication, payroll, databases, and other CU administrative items. 6. Provides administrative support with Concur which may include booking travel arrangements, car rental, correcting forms, etc. Will include maintaining records of department actual travel expenses and comparison to budgets. 7. Processes coal train invoices and demurrage. 8. Coordinates retirements, fundraisers, and meals. Places food order with facilities and coordinates with custodians on setting up training room. If the food is not delivered by the vendor, office assistant will go pick up and sometimes purchase food on PCard. 9. Renews memberships and certifications for employees. 10. Orders office supplies through Office Essentials. Orders business cards, calendars, and other items through Communications. 11. Tracks Security badges. Orders portable toilets, trash dumpsters, and metal dumpsters to be placed, serviced, and picked up for our own use and contractors. 12. Provides access to visitors at the Turn style and ADA gates. 13. Performs other administrative duties as assigned by management. QUALIFICATIONS: Education and Experience: High School diploma or equivalent is required. Additional administrative or college coursework in business skills or office procedures is preferred. Office Assistant I: A minimum of one year of administrative or general office experience including experience with Microsoft Office (Word and Excel) to enter data, set up functions, and process information is required. Office Assistant II: Associate degree in business, office administration, or other related field is preferred. A minimum of two years of responsible administrative experience including experience with Microsoft Office (Word, Excel, and PowerPoint) to enter data, set up functions, and process information is required. Licensing/Certification: Office Assistant I: A valid driver’s license is required. Office Assistant II: A valid driver’s license is required. Administrative Professional Certification or similar certification is preferred. Knowledge, Skills, and Abilities: The following represent the minimum qualifications required for the Office Assistant I classification. Higher-level classifications are expected to demonstrate advanced knowledge, enhanced proficiency, and greater independent application of these competencies. • Easily navigates the internet. • Strong interpersonal verbal and written communication skills, including basic knowledge of grammar and punctuation. Ability to tailor communication to different audiences. • Superior customer service skills and ability to work in a team environment. • Basic knowledge of clerical functions and office procedures. • Ability to: o Follow administrative policies and procedures. o Answer moderately complex questions and convey information to others. o Multi-task and perform accurate work under pressure to meet deadlines, and control information to ensure confidentiality. o Communicate and interpret policies and procedures and share information in a clear and concise manner. o Effectively utilize a range of digital tools and platforms, including but not limited to Microsoft Office Suite, enterprise software, artificial intelligence-enhanced applications, and self-service systems. Must possess a willingness and capacity to learn and adapt to emerging technologies, including mobile devices, cloud-based systems, and data-driven platforms relevant to utility operations. • Maintain adherence to all company policies. Physical Requirements: Typically, sedentary work. Ability to express or exchange ideas by means of the spoken word and receive detailed information through oral communication. Substantial movements of the wrists, hands, and/or fingers, and close visual acuity to operate a computer is required. Working Conditions: Normal office environment and may be required to perform some duties in the Power Generation Control Room. Miscellaneous Requirements: • Required to wear personal protective equipment (PPE) as needed. • Employee must remain alert and aware of their surroundings at all times and maintain the ability to respond to changing circumstances in a timely manner. • Must be able to work successfully with diverse groups of people.
