The Procurement Coordinator provides and coordinates administrative and technical support for the City’s procurement process and contract administration. Under the direction of senior staff, this position performs traditional purchasing work, including the development of solicitations and related procurement functions. The role requires specialized knowledge of procurement tools, methods, and techniques, and operates under moderate supervision.
Essential Job Duties
- Administer miscellaneous agreements and contracts, seeking guidance on contractual issues as needed.
- Review and prioritize requisitions and proposed specifications.
- Administer the City’s ProCard program, including employee assistance, training, and oversight. Provide Purchase Order training as needed.
- Oversee surplus property activities: verify asset information, process approvals, conduct online auctions, and communicate with end users.
- Maintain accurate records by scanning, routing, and filing documents; administer contracts post-award; track contract renewals; and seek guidance on complex contractual issues.
- Assist with the solicitation process by researching suppliers, obtaining quotes, drafting addendums and amendments, and identifying cooperative purchasing opportunities.
- Participate in bid openings, review bid submissions, and assist with documentation and distribution.
- Process requisitions into purchase orders and distribute accordingly.
- Serve as backup for vehicle title administration, including recordkeeping, applying for titles on newly purchased vehicles, adding to City insurance, and renewing confidential plates.
- Participate in Procurement Division meetings, process improvement initiatives, and other related activities.

Job Qualifications – Education, experience, and training that are required or desirable in order to effectively perform the job at the time of hire. An equivalent combination of education, training, and experience will be considered. Additional requirements and/or substitutions may be requested and require the approval of HR.
- Bachelor’s Degree Purchasing, Accounting, Public Administration, Business Administration, or a related field is required.
- Associate degree along with related professional experience may be considered
- Additional job experience may be considered in lieu of a degree.
- Experience in a public sector purchasing and contract position is desired.
Knowledge, Skills, and Abilities – May be representative, but not all-inclusive, of those knowledge, skills, and abilities commonly associated with this position.
- Knowledge of current principles, practices, and methods of public sector purchasing.
- Knowledge and understanding of procurement regulations and policies, state and federal laws as applicable to local government bids and contracts.
- Proficiency in use of basic business software (word processing, spreadsheets, email, presentations) and basic office equipment, and the ability to quickly learn multiple software packages.
- Competent math and keyboarding skills.
- Skilled in prioritizing, performing, and tracking multiple projects concurrently.
- Attention to detail and the ability to maintain focused concentration.
- Good customer service skills and ability to handle confidential material.
- Ability to communicate effectively and professionally with supervisors, co-workers, and customers by telephone, in writing, and in person.
