What are the responsibilities and job description for the Office Assistant II position at City of Virginia Beach?
The City of Virginia Beach Department of Human Services is seeking a talented Office Assistant II for it’s Child Welfare program. The Office Assistant II will provide administrative and clerical support to internal staff within the Child Welfare teams. This position will complete notetaking and Family Partnership scribe duties, provide notary services for families and staff, draft letters for disposition and notification, process Child Protective Services appeal requests, coordinate appeals scheduling, assist in the completion of records requests, as well as manage an array of other duties to include filing, sorting and management of Child Welfare records in compliance with agency policy and The Library of Virginia Records Retention and Disposition Schedule.
Duties:
- Taking accurate and up to the minute notes of client staffing and team meetings as needed
- Scribe Family Partnership Meetings
- Provide notary services for families and staff
- Draft letters for disposition and notification
- Assist with deployment and documentation of staff laptops and equipment
- Process Child Protective Services appeal requests
- Coordinate appeals scheduling,
- Assist in the completion of records requests
- Complete filing, sorting and management of Child Welfare records, as needed
- Maintain compliance with agency policy and The Library of Virginia Records Retention and Disposition Schedule.
- Compile statistical data to interpret workflow, variations in service delivery, and assess needs and trends of the organization.
- Prepare accurate reports and adhere to city documentation standards.
This position is part of the Child Welfare Division. The incumbent will be assigned to the Child & Family Well-Being Unit. The program provides support for case management services for families that have open Child Protective Services (CPS), or Foster Care and Ongoing CPS cases
