What are the responsibilities and job description for the Administrative Coordinator position at City of Texarkana?
Performs a variety of routine and complex clerical and administrative work in keeping official records and providing administrative support for the Public Works and Development Services Department. This position also provides administrative support and public outreach and education to meet the requirements of the City’s storm water management program laid out in the program’s schedule to keep the city compliant with the TCEQ Phase II Storm Water Permit.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Presence in the workplace on a regular basis is required to accomplish the essential functions, regular attendance MUST be maintained.
Performs routine secretarial and administrative work in answering phones, receiving the public, providing customer assistance, maintain extensive filing systems, procurement of supplies and materials, receives and processes mail, and time and bookkeeping.
Types and handles a variety of correspondence, documents, and specifications for Public Works and Development Services Staff. Also handles correspondence, documents, and specifications from other divisions when called upon.
Acts as official timekeeper and creates purchase orders/requisitions for all Public Works and Development Services Departments.
Acts as custodian of departmental documents and records. Establishes and maintains an extensive filing system for a variety of subject matter including correspondence, traffic register, departmental time records, departmental personnel records, project records, project cost accounting records (computerized), etc.
Receives, reports and maintains records for street light outages.
Logs work order requests into the Public Works work order system (MyGOV). Assists with following up on work order requests.
Maintains the Public Works portion of the city's web page including pictures and progress reports on construction projects.
Assists City Engineer with ensuring city stays in compliance with City’s TCEQ Phase II Storm Water Permit. Duties may include developing educational materials, maintaining records for activities, and preparing annual report for submittal.
Performs additional duties as necessary to meet requirements with the City’s TCEQ Phase II Storm Water Permit.

DESIRED MINIMUM QUALIFICATIONS
Education and Experience:
High school diploma or GED equivalent.
Necessary Knowledge, Skills, and Abilities:
- Ability to proficiently use Microsoft Office software.
- Preparation of reports, charts, standard forms, extensive correspondence and letters, etc. with accuracy
- Ability to develop and maintain an extensive filing system.
- Ability to establish and maintain effective working relationships and communicate effectively both verbally and in writing with other employees, developers, engineers, other governmental agencies, and the general public.
