The Administrative Assistant II provides administrative support including, but not limited to, advertising vacant positions, processing new hires and terminations, maintaining computer and employee files, and composing and typing correspondence and reports. The Administrative Assistant II provides administrative support including, but not limited to, advertising vacant positions, processing new hires and terminations, maintaining computer and employee files, and composing and typing correspondence and reports. This role requires the ability to maintain confidentiality of information and records.
Essential Duties And Responsibilities
- Provides administrative support to the Treatment Plant Division Director by gathering information, preparing progress reports, and assisting with budget preparation while maintaining a thorough understanding of City and Division policies and supports the needs of all water treatment supervisory personnel
- Completes office functions for payroll, purchase orders, accounts payable, processing receiving invoices, and general office purchases
- Orders and stocks office supplies while managing the sorting and routing of mail, running errands, and serving as the key operator for the copy machine
- Communicates with customers and vendors in a courteous manner to handle inquiries, screens calls and visitors for staff, and arranges travel plans related to licensing and certifications
- Maintains reports, employee records, and office files while managing the advertising and processing of new and departing employees
- Composes and types correspondence and monthly reports, including the preparation of charts and graphs for executive use
- Assists the Treatment Plant Director with various functions such as updating job descriptions and completing other duties as assigned
- Assists in administering safety and training functions
- Follows City policies, procedures, and safety guidelines
- Performs other duties as assigned
- Combination of education and experience equivalent to an Associates degree in Business Administration, Accounting, or related field
- Three (3) years of experience in accounting, office setting, or related field
- Valid driver’s license
