Administrative Assistant - Solid Waste Division of Public Works Department

Schedule: Monday – Friday, 7:00 AM – 4:00 PM

Position Overview:
We are seeking a dedicated and detail-oriented Administrative Assistant to support our department head and team. This role is essential to the smooth day-to-day operations of the department and requires a high level of professionalism, discretion, and organizational skill. The ideal candidate will be capable of managing a variety of administrative and clerical functions, including handling projects and information that may be confidential or sensitive in nature.

Duties and Responsibilities

The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.


  • Responds to inquiries from the public in person and by telephone.
  • Performs word processing duties for preparation of memoranda, letters, departmental procedures, agendas, resolutions, ordinances, and other documents.
  • Processes invoices for payment and is responsible for departmental purchasing records and related documents.
  • Prepares and gathers budget information for data entry.
  • Maintains records of expenditures and reconciles accounts.
  • Performs research on policy, rules and regulations, and historical data.
  • Maintains the departmental calendars.
  • Enters departmental payroll and prepares personnel forms for worker's compensation, accident reports, insurance, risk management, and any other necessary related forms or payroll functions.
  • Prepares and coordinates travel arrangements for conferences and training in accordance with policy and procedures.
  • Performs related work as assigned.

Minimum Education and Experience Requirements

Requires High School graduation or GED equivalent supplemented one (1) year of administrative, clerical, or customer service experience; or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities.

Must possess and maintain a valid state driver's license with an acceptable driving history.

Specific vision abilities required by this job include close vision, color vision and ability to adjust focus.

Mathematics:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Language Ability:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Reasoning:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
