PRIMARY PURPOSE:
Performs a wide variety of duties including administrative support work for the Ozark Police Department and customer service, reception and general clerical duties.
SUPERVISION:
Under direct supervision of the Support Services Supervisor.
DESCRIPTION OF WORK:
ESSENTIAL FUNCTIONS:
1. Answers phones; conference calling.
2. Assist citizens walking into the police department. Evaluates requests and complaints. Handles minor items at the office or contacts an officer or supervisor if indicated. Provides copies of reports requested by citizens who have had contact with the department.
3. Assist officers with victims/suspect information and criminal histories and assist officers with searches for information on suspect persons and vehicles via the M.U.L.E.S. computer.
4. Types letters, memoranda, reports forms and statements.
5. Filing; mailing.
6. Replying by phone, in person or by correspondence to inquiries from public; supply general information on departmental policies and procedures; refers more difficult inquires to the appropriate official; provide basic secretarial services of routine nature.
7. Prepares departmental reports for presentation to senior officers.
8. Maintains police reports and records; responds to requests from insurance companies, collects fees concerning reports.
9. Assures that the Prosecuting Attorney is kept current on police reports and matters concerning police cases scheduled for municipal court.
10. Serve as a witness to court ordered child exchange between parents. Many times the judge orders the exchange to take place at the Ozark Police Department.
11. Custodian of Records – receives and responds to all subpoenas. Process and enters all reports into the computer and checks that the report matches the call for service entry. Makes copies and routes all reports to the proper agency.
12. Liaison between Ozark Police Department and Missouri State Highway Police M.U.L.E.S system. Is responsible for the M.U.L.E.S terminals and for insuring proper use of the system by members of the Department.
13. Prepares and submits accident reports to the State.
14. Completely monthly reports of crime statistics and enters all tickets into the dissemination log.
15. Conduct local background checks for the armed forces and for other government agencies.
16. Enters all warrants brought over by the municipal court into the M.U.L.E.S. system.
17. Validates warrants that have been entered into the M.U.L.E.S. system.
18. Process fingerprints cards.
19. Updates emergency contact list for businesses.
20. Compiles monthly departmental statistical reports.
21. Enters all DWI reports for tracking.
22. Enters information from traffic stop reports into the Racial Profiling database and compares information to traffic stops and tickets written by officers.

Shall undergo required training and cross-training; and

Shall exhibit strong customer service not only with the general public, but with our internal customers as well (i.e., other City employees); and
Shall ensure that those who report to them, if applicable, are adequately trained and cross-trained; and may be required to mentor, train, coach, and monitor other employees, volunteers, program participants, etc.
IMPORTANT FUNCTIONS:
1. Proficient with department’s RMS, computer software, including but limited to, Microsoft Word, Excel, Publisher, PowerPoint, and operates department vehicles as needed.
Performs related work as required.
QUALIFICATIONS REQUIRED:
Any combination of education, training, and experience providing the following knowledge, skills, and abilities.
Knowledge
Modern office practices and procedures; accurate grammar, spelling, punctuation and standard English usage; business correspondence formats; record keeping and filing system methods; basic math as necessary for various statistical reports.
Abilities
Read, interpret, explain and apply a variety of information, often of a complex nature, including applicable laws, department procedures, records, reports, etc.; utilize sound judgment; maintain a high degree of confidentiality; handle a large volume of public contact including diffusing potentially negative situations; accurately prepare and maintain records and reports requiring attention to detail; type accurately at a rate of approximately 30 words per minute; utilize appropriate computer software applications; follow oral and written instructions; communicate effectively both verbally and in writing; perform effectively as a member of a team in carrying out the city's stated mission and philosophy; deal effectively and courteously with a diverse group of associates and the general public; present an overall professional image; perform the essential functions of the job without posing a direct threat to the health and safety of others.
Experience, Education, and Training
Requires a minimum of 2 years experience in a multi-task, high public contact work environment or law enforcement experience that would provide the incumbent with the necessary knowledge, skills and abilities.
Physical Requirements
Performs bending, sorting, and reaching to both ground level and overhead; pushes and pulls up to 50 pounds; holds and grips objects; operates a computer keyboard.
Working Environment
Primarily indoors with heating and cooling regulated in an office environment; possible exposure to disease or potentially violent situations.
Licensing/Certification
Ability to obtain and maintain state certification as a MULES terminal operator as required by departmental assignment. Ability to obtain and maintain Notary certification with the state of Missouri as required by department assignment.
Miscellaneous Requirements
Must be able to successfully complete a security background investigation; must be able to work any assigned shift with varying days off.
Must possess a valid driver’s license.
Must be able to satisfactorily complete a background investigation, as required.
Must pass a pre-employment drug test and is subject to random drug testing in accordance with the city’s drug test policy.
