GENERAL PURPOSE OF THE JOB:
The Programs Assistant is responsible for collectively working with the Programs Manager on the
coordination and execution of the C.O.P.S. Weekends and Camps, C.O.P.S. National Police Survivors’
Conference, C.O.P.S. Kids/Teens & Day Care Programs and the C.O.P.S. Surviving to Thriving
Conference.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Assist with the coordination of several assigned programs/events each year.
Collect, organize, and maintain files and documents, both paper and electronic.
Process registrations in database, ensure accurate records and pull reports.
Update program/event informational documents and required paperwork.
Assemble and mail/email program/event packets and required paperwork.
Communicate with survivors, counselors, mentors, volunteers, and donors as needed both
electronically and verbally.
Compile, organize, and track program/event attendee required paperwork and travel.
Coordinate and schedule activities with program/event locations.
Develop program/event agendas, rooming lists, and attendee groups.
Develop program/event timeline for staff with detailed information on the program/event.
Prepare and pack supplies for each program/event.
Travel to several out-of-town programs/events a year and assist with executing them as planned.
Update information in database after programs/events have concluded.
Organize and put away supplies after each program/event as concluded.
Compile program/event evaluations and compose evaluation summaries.
Research potential locations and activities for future program/events.
Effectively communicate and collaborate needs with other departments within the organization.
PERIPHERAL DUTIES:
Occasional out of town travel to C.O.P.S. functions other than program/events assigned.
Assist other Departments on large group projects when needed.
Other duties as assigned.
SUPERVISORY RESPONSIBILITIES:
None
EDUCATION, EXPERIENCE, CERTIFICATES AND LICENSES:
High school diploma required. Prefer a minimum of one year of event planning and two years of office
experience. Proficiency in Microsoft Word, Excel, Google platform and Windows 10.
SKILLS:
Problem Solving and Reasoning Ability: Ability to resolve problems in a timely manner and deal with a
variety of situations where organization is required. Develop alternative solutions. Deal with a variety
of situations where only limited instruction is offered.
Language Skills: Persuasive writing and strong verbal communications. Ability to speak effectively in
person and on the phone to convey appropriate C.O.P.S image to callers and visitors. Public speaking to
large groups for events.
Customer Service Skills: Manage difficult or emotional situations. Respond promptly to inquiries and
needs of others. Respond to requests for service and assistance. Meet commitments.
Mathematical Skills: Ability to add, subtract, multiply and divide using whole numbers, common
fractions, and decimals.
Computer Literacy: General knowledge of computers and software is necessary, including word
processing, spreadsheets, e-mail, and database.
Interpersonal Skills: Ability to interact with team members, external customers, and executives.
RESIDENCE REQUIREMENTS: This is an in-person position, located at the National C.O.P.S. office
in Camdenton, Missouri and a successful applicant must currently reside near or be willing to relocate to
within a daily driving distance from the office.
Salary : $16 - $18
