General 
Performs administrative and technical work in the Building Inspection and Building Maintenance departments; processes applications for building, and related permits; schedules and records building inspections; provides monthly construction reports, interacts with developers, contractors, and general public on related permitting and City Hall building and grounds maintenance issues. Works with Building Custodial / Maintenance personnel to procure supplies and complete work order requests.

 The Building Inspection / Building Maintenance Administrative Assistant is responsible to and performs under the direct supervision of the Building Official.

Examples of Essential Duties
The following examples are meant to be illustrative only and are not intended to be all-inclusive:
  • Processes permits - receives permit and project applications and verifies all information necessary for plan review and fee determination; routes to Building, Planning, Public Works, and contracted Engineers and Architects for review and fee calculation; issues permit number; prepares electronic files, and records fee receipts. 
  • Assists citizens/customers (internal and external) of the department in a friendly, courteous, and professional manner using clear oral and written business communications. 
  • Receives and schedules requests for building inspections; distributes requests to inspectors. 
  • Provides information to owners, developers, contractors and the general public on building issues, property information, procedures, and ordinances. 
  • Assists with administrative tasks in the department, such as answering phones, serving customers, typing correspondence and reports, scanning, filing and records retention. 
  • Prepares monthly reports for the building functions. 
  • Receives and resolves or refers citizen complaints or requests for services. 
  • Assists with department and interdepartmental special events and projects. 
  • Receives and processes requests for building and office supplies. 
  • Receives and coordinates requests for building and grounds maintenance concerns. 
  • Performs other duties as assigned
Knowledge, Skills, and Abilities
  • Considerable knowledge of the general principles, practices, and procedures involved in the successful operations of a modern administrative office or department. 
  • Basic knowledge of building codes, ordinances, terminology, construction techniques, etc. 
  • Considerable knowledge of clerical methods and techniques, especially as modified to meet conditions existing in municipal government. 
  • Knowledge of business, English, spelling, composition, punctuation, and arithmetic, as well as accuracy of proofreading. 
    1. Ability to establish and maintain effective working relationships 
    2. Ability to communicate accurately and clearly both orally and in writing. 
    3. Ability to perform duties independently or with minimal supervision. 
    4. Ability to work on a variety of tasks concurrently. 
    5. Ability to make work decisions in accordance with laws, rules, regulations, and policies. 
Minimum Qualifications
  • High school diploma or equivalent. 
  • International Code Council Permit Technician certification or ability to obtain within 2 years of hire. 
  • Minimum two years of experience in municipal Building Department, customer service, cash handling, or comparable position within a municipal government. 
  • General knowledge of building and grounds maintenance processes and terminology.

Salary : $43,356 - $48,776
