This is data entry work for the Ocala Police Department Technical Services Section. Responsible for scanning numerous documents from outside agencies to incident reports.
 
  1. Responsible for scanning numerous documents from outside agencies to incident reports. These documents include FDLE reports, SAO requests/reports, return receipt of property forms, disposal lists, and ATF reports. Additionally, prints cards are entered in CJIS and necessary juvenile print cards are purged from the system.
  2. Assist in producing correspondence in reference to Recovered Property (letters, newspaper ads) in accordance with Florida State Statue.
  3. Assist in insuring that the inventory of supplies for the section is maintained.
  4. Completes filing; maintains case files; assist in answering phones for the section; and performs other duties as assigned by the Technical Services Section Supervisor.
  5. Required to report to work at the appointed hour, as scheduled, and to work the entire assigned shift.
  6. Approximately 90% of the essential job functions are seated at a desk located in assigned office. Manual dexterity to use a computer keyboard, printer, calculator, telephone, stapler, copy machine and typewriter. Reads policy and procedural manuals and other materials as needed. Communicates clearly and politely to interact with other employees and the public in person and by telephone. Flexibility needed to move, bend, kneel, stand, stoop, reach and lift approximately 25 pounds to move office supplies and equipment such as typewriter and files.
  7. The job functions are performed Monday through Friday, but at times require flexibility in work schedule. Equipment used consists of phone, computer, copy machine, fax machine, typewriter, calculator, stapler, staple remover, tape dispenser and other office supplies.
  8. Direct customer service is performed to employees and the general public by telephone. Communicates clearly, courteously and professionally to assist others.
Perform any other related duties as required or assigned.
 EDUCATION AND EXPERIENCE
Graduation from high school or GED. Minimum one year experience in the secretarial field and one year customer service experience or equivalent combination of training and experience
REQUIRED CERTIFICATES, LICENSES, REGISTRATIONS
Must possess and maintain a valid Florida operators driver’s license with an acceptable driving record.
PREFERRED CERTIFICATES, LICENSES, REGISTRATIONS
Must possess organizational skills.
Knowledge of modern business management and the principles and practices of public administration.
Ability to communicate clearly and concisely, both orally and in writing.
Analytical skills in preparing fiscal and overtime reports.
Ability to meet multiple deadlines and change priorities to meet service demands. Be able to maintain confidential information.

 Under general supervision where standard practice enables the employee to proceed alone on routine work, referring all questionable cases to supervisor.

Could cause further errors, losses, or embarrassment to the organization. The possibility for error is always present due to requirements of the job.

Extensive contacts with various diversified sectors of the public environment; wherein, the contacts are of extreme importance and failure to exercise proper judgment can lead to substantial losses to the organization.
