What are the responsibilities and job description for the Administrative Coordinator position at City of North Miami?
Performs difficult secretarial and clerical tasks, deals with overseeing the special magistrate process. This is important clerical work and is distinguished from subordinate classifications by the requirements of a broader knowledge of the City or a major department's operations. The employee in this class has frequent contact with other units of government and handles a variety of matters with a view toward conserving the time of a superior. Considerable judgment and tact are required in handling the many diverse problems that occur. Immediate supervision may be exercised over several subordinate clerical personnel.
- Takes and transcribes difficult dictation involving technical, legal, financial, personnel or engineering terminology, including minutes of official meetings;
- Prepares replies to correspondence from brief dictated notes or on own initiative;
- Performs several administrative duties for a department such as compiling and preparing statistical records;
- Types complex statistical and other reports;
- Screens visitors, telephone calls and incoming mail and personally answers inquiries which in the employee's judgment do not require the supervisor's attention;
- Makes appointments for supervisors and reminds them of appointments or other matters that should be called to their attention;
- Prepares requisitions, vouchers, budget forms and other data.
- Maintains personnel records for the department
- Responds to inquiries related to Public Records Requests
- Reproduces documents as requested
- Orders supplies for the department and keeps tracks of inventory and budget
- Customer Service back up to Administrative Specialist/Clerk
- Provides property Ownership changes on system as requested by staff
- Approve time in Executime weekly
- Administer staff equipment/Collect staff equipment
- Other duties as required by management.
- High school graduation or equivalent plus four to five (4-5) years progressively responsible experience in clerical and secretarial work involving special magistrate preparation.
- Written and verbal communication skills in English, as well as verbal communications skills in additional language(s) as may be determined based on constituent population.
- Thorough knowledge of office terminology, procedures, equipment, business arithmetic, and English;
- Good knowledge of the operations of City government;
- Ability to take and transcribe difficult oral dictation or proficiency in the use of Dictaphone equipment;
- Ability to type from clear copy or rough draft at a minimum of 30 net words per minute;
- Ability to follow complex oral and written directions;
- Ability to meet top-level officials and others with tact and diplomacy and to maintain effective relations with the public and fellow employees;
- Demonstrated ability to maintain complex clerical records and prepare reports from such records;
- Ability to work under pressure and make decisions in accordance with laws, ordinances, regulations and established procedures;
- Ability to make relatively complex mathematical computations rapidly and accurately;
- Good judgment;
- Tact and courtesy
