THE OPPORTUNITY
We are seeking a Management Assistant to support purchasing and departmental operations through a combination of analytical, administrative, and project coordination responsibilities. In this role, you will assist with purchasing processes, vendor coordination, budget tracking, contract and agreement administration, data analysis, reporting, and special projects that directly support departmental goals and organizational success. You’ll work closely with management, internal teams, consultants, and external partners while helping ensure projects, documentation, and operational activities are completed accurately and efficiently. This is an excellent opportunity for a professional who enjoys problem-solving, managing multiple priorities, and contributing to process improvements in a collaborative, service-oriented environment.

IDEAL CANDIDATE
Our ideal candidate brings strong communication skills, attention to detail, analytical thinking, and the ability to work both independently and collaboratively. Candidates with experience in purchasing support, public administration, budgeting, contracts, operations analysis, or project coordination are strongly encouraged to apply. The strongest candidates will possess experience supporting purchasing, budgeting, contracts, procurement processes, project coordination, or administrative analysis functions, along with proficiency in Microsoft Office Suite, spreadsheets, and database systems in the public sector.
Minimum And Desirable Qualifications
Management Assistants perform professional analytical and management support work assignments ranging from routine to moderately difficult or assists others in performing more difficult analytical work in support of department functions, programs, goals and objectives. As experience is gained, more difficult duties are assigned and performed with greater independence. Incumbents are expected to exercise judgment in applying indicated study methods and analytical techniques and in making sound, fact-based recommendations based on study results.
Management Assistant is distinguished from Management Analyst in that incumbents in the latter class perform more difficult research assignments involving gathering and interpretation of data from multiple sources on issues of significant impact and importance, while exercising sound judgment in formulating study approach and analytical techniques necessary to achieve expected study results.

We provide a wide range of support services to other City departments including budget coordination; financial reporting; payroll; billing and accounts receivable; purchasing and central stores; accounts payable; cash management and investing; cashiering; technology services including network administration and security, enterprise systems and database administration, geographic information systems, backbone infrastructure and telecommunications; and maintenance service for all City facilities.

THE SELECTION PROCESS
Applicants possessing the MOST DESIRABLE qualifications at each level, based on a screening of required application materials, including the completed Supplemental Questionnaire, will be invited to continue in the selection process. Candidates will respond to a series of standardized questions, and their performance will be assessed using predetermined evaluation criteria to ensure a fair and consistent appraisal process.
Based on the Department's needs, the selection procedures listed above may be modified. All candidates will be notified of any changes in the selection procedure.
Eligible List: Once the appraisal is complete, HR will establish an eligible list of candidates. Candidates placed on the eligible list may be referred to a selection interview to be considered for present and future vacancies.
