Duties
- Manage front desk operations, greeting visitors and residents with professionalism and courtesy
- Answer and direct multi-line phone systems promptly, providing excellent customer support and information
- Maintain accurate records through data entry, filing, and document proofreading to ensure compliance and organization
- Coordinate calendar management for meetings, community events, and appointments using Microsoft Office and Google Workspace tools
- Assist with office management duties including supply inventory, mail handling, and general clerical support
- Support property management activities by maintaining resident databases, processing correspondence, and managing communication logs
- Provide bilingual support to residents and team members when necessary to facilitate clear communication
- Uphold professional phone etiquette and provide exceptional customer service at all times
Experience
- Previous office experience in property management or a related administrative role preferred
- Demonstrated clerical experience including data entry, filing, proofreading, and document organization
- Proficiency in computer literacy with strong skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable
- Experience managing multi-line phone systems and front desk operations in a fast-paced environment
- Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Bilingual abilities (e.g., English/Spanish) are advantageous for supporting diverse community members
- Personal assistant or administrative support experience that highlights calendar management and customer service skills
