Summary of Job The position of Records Clerk is a non-sworn position of the Menasha Police Department. The position requires a philosophy of dedication to public service for the common good of all citizens. Typical Schedule: Monday-Friday, 8:00AM - 4:00PM (No Nights, Weekends, or Holidays) Essential Duties and Responsibilities The Records Clerk is under the direct supervision of the Deputy Chief.

He/she will perform various clerical functions and law enforcement related support activities. The Records Clerk is responsible for the organization and coordination of a variety of court and traffic related activities, Incident reports, cash flow, validation and all other general duties within the police department. The Records Clerk shall: Strive to carry out the Mission of the Menasha Police Department Provide a professional level of customer service to agency staff and to external consumers of service.

Monitor all non-emergency phone lines, receiving and coordinating the information as appropriate. Proofread initial reports and follow up investigative information from all Sworn and non-sworn Officers. Prioritize report preparation based upon severity of the offense and custody status.

Prepare monthly false alarm reports for Deputy Chief and Finance Department. Assist walk-in requests for service. Enter complete and appropriate information into Computer Aided Dispatch (CAD) system.

Perform appropriate TIME system entry/cancellation/inquiry according to TIME system and department policies and procedures. Oversee compliance with the Criminal Justice Information System (CJIS) policies. Serve as liaison between agency and the Crime Information Bureau (CIB).

Responsible for training and certification for terminal use. Daily cash register and petty cash drawer documentation and forwarding monies to Finance with an audit trail. Monitor holding facility, building security system, electronic doors and any other alarm panels.

Receipt payment for fines, forfeitures and bonds set forth by department policy. Monitor and coordinate maintenance of office equipment and supplies. Exhibit a good working knowledge of all assigned equipment to include required technologies and is able to function effectively with it.

Effectively communicates in writing using proper grammar, spelling and punctuation. Receive and coordinate requests for bartender's license applications as outlined by statute, ordinance and department policy. Maintain all traffic related reports to include accident reports, citations and summons.

Coordinate and prepare paperwork for all OWI cases with the District Attorney, City Attorney, Clerk of Courts and the State Review board. Establish and maintain court case files on all traffic citations and city ordinances. Maintain communication with the City Attorney and Municipal Court and ensure all records are prepared and distributed as requested.

Maintain files for Municipal Court, attend Municipal Court and complete the disposition process of all citations and summonses. Proficiently utilize Tracs and other associated software to complete all parking ticket processing, send warning letters and handle suspension/satisfaction status with Department of Transportation. Sign criminal complaints for the District Attorney's offices in Winnebago and Calumet County as needed.

Ability to maintain a high degree of confidentiality. Receive, process, redact and document all public record requests including documents, audio, video and photographs in a timely fashion. Completes assignments independently and without close supervision.

Qualifications QUALIFICATIONS Working knowledge of state statues and city ordinances Ability to prepare and maintain accurate and complete reports Ability to work cooperatively with officers, other civilian staff and members of the public Ability to understand and operate a variety of office equipment and programs Ability to understand and effectively carry out oral and written instructions within established deadlines Ability to secure and retain TIME certification DESIRED TRAINING AND EXPERIENCE Knowledge and experience with Microsoft Office Knowledge and experience with the TIME system, P1 Records Management and IBERS Associate degree in business or criminal Justice or equivalent training and experience. Job Knowledge, Skills and Abilities The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. While performing the duties of this position, the Records Clerk is frequently required to sit, speak and listen.

The Records Clerk is required to stand, walk, use his/her hands and fingers to handle or feel objects, stoop, kneel and crouch. The Records Clerk may occasionally lift and/or move more than 25 pounds. Specific vision abilities required by this position include close vision, distance perception and the ability to adjust focus.

Ability to perform most work from a sedentary position. Ability to work at a computer for extended periods of time.
