The City of McMinnville Police Department is looking for an initiative driven individual who thrives on new opportunities daily. This position offers a variety of tasks, leaving no two days the same. Our Police Administrative Support Specialist position manages a variety of administrative and technical support responsibilities. An ideal candidate will be self-starter with initiative who is a multi-tasker. The position is a key liaison between officers, court personnel, city departments and the public. This role is a combination of office management, court coordination, school traffic control, procurement and reporting and grant administration.

The salary for this position is paid based on experience with a minimum starting salary of $38,043. The schedule is Monday through Friday, eight (8) hours per day.

The City of McMinnville offers great benefits and time off. The City pays over 85% of employees' medical premium plus offers a wellness and tobacco free discount on the monthly premium up to $150. Life Insurance for the employee and family and long-term disability for the employee is covered at no charge to the employee. Vision / Dental and short-term disability is available.

The City also offers an ample amount of paid time off. Annual time is accrued 48 hours year one increasing to 96 hours in year two plus 48 hours of personal time. Sick time is accrued monthly beginning day one.

The City also offers a retirement plan through TCRS with a 401k.

Minimum Requirements

  • High school diploma or equivalent
  • 3-4 years' experience in an office or law enforcement environment
  • Strong computer skills with Microsoft Office products
  • Self-starter with strong initiative and drive
  • Must obtain certification on TIBRS/NIBRS computer system within 6 months
  • Possession of a valid driver's license

Essential Functions Of The Job

  • Manage and update various departmental databases and filing systems with a high degree of accuracy
  • Perform general administrative duties
  • Maintains General Sessions, Juvenile, Traffic and Grand Jury dockets for court and court case files for officers
  • Appear in General Sessions Court to track and document officer cases for criminal and traffic court dates
  • Assist with school traffic control at the Warren County High School during weekday mornings and afternoons
  • Maintain positive interactions with students, staff and the public while ensuring safety and traffic flow compliance
  • Patrol designated downtown areas to enforce city parking ordinances and regulations
  • Issue parking citations and warnings as appropriate
  • Maintain accurate records of parking enforcement activities and report recurring issues or violations to supervisors
  • Provide courteous and professional assistance to the public regarding parking rules and locations
  • Serve as the backup for the Terminal Agency Coordinator (TAC) ensuring compliance with NCIC/TBI standards
  • Serve as backup for the Tennessee Incident Based Reporting System (TIBRS) data entry and submission
  • Assist with compiling and maintaining accurate crime and incident records
  • Order and maintain inventory on office supplies, uniforms and equipment for department personnel within budget
  • Code and process invoices and expenditures for accounts payable in accordance with the City's Finance Department
  • Administrative support for the Police Department Accreditation requirements
  • Assist with the administration of federal, state and local law enforcement grants; track expenditures, maintain documentation and reporting
  • Compile and publish the Weekly Crime Report, Monthly Police Statistics and the Annual Department Report
  • Maintain statistical data and support operational planning and performance tracking
  • Provide back-up for the Court Clerk and Records Clerk
  • Perform other work as necessary

Required Knowledge And Abilities

  • Knowledge of modern office equipment and methods including computer equipment
  • Knowledge of Microsoft Office 365
  • Knowledge of the principles, methods and techniques of office supervision and management
  • Knowledge of department rules, regulations, procedures and functions
  • Knowledge of federal, state and local law and ordinances
  • Ability to identify and take initiative to perform tasks
  • Ability to work independently on moderately difficult or complex clerical tasks
  • Ability to handle a variety of callers with complaints
  • Ability to communicate clearly and effectively, orally and written
  • Ability to understand and follow instructions
  • Ability to understand and communicate departmental rules, regulations, procedures, and functions to the general public and other employees
  • Ability to perform a variety of tasks simultaneously or in rapid succession
  • Ability to concentrate and accomplish tasks despite interruptions
  • Ability to maintain a high level of discipline and morale
  • Ability to establish and maintain an effective working relationship with the public and other employees
