Summary/Objective
Contributes to the effectiveness of the department by performing administrative and clerical services. Ensures all word-processing, filing, and clerical responsibilities are completed within the time limits and in the manner prescribed. Contributes to public awareness of programs and policies. Ensures all the daily operations are completed by serving as the direct line of customer service.
Essential Functions
Performs administrative and clerical functions; assists with general daily operation of the office as required.
- Provides customer service by answering phones, conveying messages, greeting clients and determining need(s), and responding to verbal, written and electronic communications.
- Serves as initial point of contact for the department responding to routine inquiries and, when necessary, directing inquiries to the appropriate team member.
- Receives and records requests for services or registrations. (Processes all KS One Call locate requests received in Public Works)
- Assists with maintaining accurate and up-to-date records, databases, and filing systems related to department operations, client information, and administrative documents.
- Prepare meeting agendas, attend meetings to record minutes, and prepare and distribute meeting materials to the public in compliance with Kansas Open Meetings Act.
- Assists onboarding Department seasonal employees
- Performs accounts payable and accounts receivable duties. May also prepare work authorizations, update project website, and assist with contract documentation books.
- Assists with maintaining logs of work and materials used by the department crews.
- Prepares and maintains reports and correspondence.
- Creates and proofreads documents as requested.
- Maintains and updates departmental information on City’s website.
- Ensures compliancy with all applicable regulations, policies, and procedures in all duties.
- Attends meetings and trainings as required.
- Other duties as assigned.

- Strong written and verbal communication skill, active listening skills, effective organizational skills, detail-oriented, and time management skills.
Requirements
Required Education and Experience
- High school graduate or GED.
- One (1) year of experience.
- Valid driver’s license.
Preferred Education and Experience
- One (1) year of college or technical school.
- Three (3) years of experience.
Compensation & Benefits
- Boot, Clothing and Vehicle Allowances, if applicable.

- Retirement/Pension - City employees are required by statute to contribute to the Kansas Public Employees Retirement System (KPERS). Voluntary retirement contributions are offered with Nationwide, Mission Square, and Empower KPERS 457.
