General Definition of Work
This position performs skilled administrative and clerical support functions, including preparing, processing, and maintaining departmental records and providing direct administrative assistance to the Building Commissioner. Work is performed under limited supervision. Regular work hours are Monday through Friday, 10:00 a.m. to 2:00 p.m., with flexibility required based on departmental needs.
Essential Functions
- Perform general clerical duties with proficiency in Microsoft Word and Excel.
- Interact professionally and cooperatively with the public, coworkers, and other city personnel.
- Process, record, and maintain licenses, registrations, permits, and similar official documents.
- Prepare claim forms for office expenditures; balance and manage related accounts.
- Draft letters, billings, and other communications on behalf of the Building Commissioner.
- Prepare and maintain weekly and monthly deposit records.
Knowledge, Skills, and Abilities
- Thorough knowledge of standard office practices, procedures, and equipment.
- Proficiency in word processing, spreadsheets, accounting systems, and other relevant software.
- Working knowledge of general City functions to properly respond to inquiries and process documents.
- Skill in operating modern office equipment necessary to perform assigned duties efficiently.
- Strong analytical and problem-solving abilities; able to work well under pressure and evaluate solutions logically.
- Excellent organizational skills, including the ability to prioritize tasks, manage time effectively, and work with minimal supervision.
- High level of accuracy and attention to detail with the ability to meet deadlines.
- Effective verbal and written communication skills; able to interact with business representatives, elected officials, department heads, City employees, and the public with courtesy and professionalism.
- Strong computer skills and the ability to work required hours consistently.
Minimum Education and Experience
- High school diploma or equivalent required.
- Bilingual skills preferred but not required.
- Minimum of two years of related administrative or clerical experience.
- A combination of education and relevant experience may be considered.
