Responsibilities
What you'll do
- Serve as the primary point of contact for patients, visitors, and callers seeking Adult Immunization, Travel Health, Refugee Health, Immigration Medical, and other clinical services.
- Answer incoming phone calls and respond to questions regarding clinic services, vaccine availability, eligibility requirements, travel consultations, immigration medical services, fees, and appointment scheduling.
- Schedule, confirm, reschedule, and cancel appointments while coordinating clinic schedules to maximize efficiency and patient access.
- Greet patients, verify appointments, provide check-in instructions, and direct individuals to the appropriate clinic staff or service area.
- Collect, verify, and update patient demographic, insurance, and registration information within the electronic health record (EHR).
- Explain clinic procedures, required documentation, consent forms, payment expectations, and visit requirements prior to appointments.
- Distribute educational materials, vaccine records, travel health information, and other patient resources as directed.
- Coordinate patient flow by communicating with nursing and clinical staff regarding arrivals, delays, walk-in patients, and scheduling changes.
- Process payments, issue receipts, and maintain accurate financial records in accordance with departmental policies.
- Maintain organized patient records, forms, and administrative documentation while ensuring compliance with HIPAA and Health Department confidentiality requirements.
- Conduct appointment reminder calls, confirmations, recall activities, and outreach efforts to improve appointment adherence and vaccine series completion.
- Monitor waiting areas to ensure a clean, welcoming, and organized environment for patients and visitors.
- Collaborate with clinical and administrative staff to support efficient daily operations and deliver high-quality customer service.
- Maintain current knowledge of Health Department programs, immunization recommendations, travel health requirements, and clinic procedures to accurately assist patients.
- Perform other administrative, clerical, and customer service duties as assigned.
Qualifications
REQUIRES
- High school graduation and 1 year of public or private sector experience in customer service work; OR an equivalent combination of qualifying education and experience.
