The Medical Examiner Department is actively seeking a MEO Administrative Assistant.

This is administrative support work in coordinating, monitoring, and facilitating administrative actions and processes includes. preparing reports, correspondence, case histories and related documents. The work requires knowledge of technical medical terminology and specialized skills in preparing medical documents which is acquired through a combination of training and considerable on the job experience. Contacts require courtesy, tact, and effectiveness in requesting or providing information, asking questions, or obtaining clarification. The work is semi-routine in that tasks are covered by procedures or precedents, but latitude is permitted to consider the most appropriate method, technique, or procedure to follow. The work involves differing situations requiring use of judgment in search of solutions or new applications within one's known experiences. Work is performed in an office environment. Operates standard office equipment such as, personal computer, and copier. Physical demands consist of sitting or standing at a workstation for extended periods of time, using standard office equipment on an ongoing basis, and occasionally lifting and moving light objects weighing less than 25 pounds.  Work is performed under general supervision where work assignments are varied and, although subject to standard practices and procedures, the employee is permitted some latitude to set own priorities subject to supervisor's approval.(Not intended to be all inclusive)
  •  Performs case file organization, tracking, and filing of supplemental documentation and components.
  • Types statistical and special reports assigned
  • Proof-reads completed forms for accuracy.
  • Answers inquiries, giving routine information to those requesting it.
  • Receives, screens, and routes telephone calls.
  • Keeps calendar of trials, depositions, lectures, etc., for assigned personnel.
  • May train other employees on practices, and procedures of the front office activities of the Medical Examiner’s Office. 
  • Operates standard office equipment including personal computers, and copier.
  • May attend meetings, oversee the recording, preparation, and maintenance of minutes and make presentations on administrative and technical subjects. 
  • Demonstrates proficiency in the City of Jacksonville’s competencies.
  • Performs related work as required.
  • Knowledge of medical office practices and procedures.
  • Knowledge of technical medical terminology and Business English.
  • Skill in filing, receptionist duties and maintenance of records.
  • Skill in operating standard office equipment such as computer, fax and copier equipment with speed and accuracy.
  • Intermediate skills in using Microsoft office, specifically Word and Excel.
  • Ability to identify inefficiencies, map processes, and drive waste reduction initiatives.
  • Demonstrated ability to serve as a change agent within the work area.
  • Ability to prepare, assemble, and process medical documents, letters, and memoranda.
  • Ability to read, understand, and apply job related materials.
  • Ability to remain calm under pressure and stressful working conditions during heavy workload and emergency related calls.
  • Ability to establish and maintain effective working relationships.
  • Ability to operate standard office equipment such as, copier, personal computer using word processing, spreadsheet, database, email, and related applications.
  • Ability to learn, apply, and adhere to relevant state and federal laws, county ordinances, and other policies and procedures which govern medical examiner operations.
  • Three (3) years of administrative support experience within the past 5 years.  
  • Must be able to type at a rate of 50 words per minute.  
LICENSING/CERTIFICATION/REGISTRATION: 
  • A valid driver’s license may be required prior to appointment and must be maintained during employment in this class.  
  • Must qualify for prior to appointment, obtain, and maintain during employment in this class a City of Jacksonville Certification as a Public Driver.
OTHER REQUIREMENTS
  • The probationary period for this class is six (6) months. 
  • This classification performs safety-sensitive functions and is subject to pre-employment, random and other drug/alcohol testing programs as set forth in the City of Jacksonville’s Drug Free Workplace Policy (0401).  
  • The Medical Examiner’s office is part of the Incident Management System for each county which it serves. 
  • All full-time employees are required to report and carry out duties as assigned for the duration of the emergency. 
  • Depending on the nature of the emergency, this may require working around the clock for several days on short notice.
