JOB SUMMARY
The objective of the Guest Services Representative is to provide support to the public visiting the City of Huntsville Service Center, and to coordinate rentals and payments of park facilities, program fees, and cemetery plots. Additionally, this position will provide support to the Parks and Leisure Department.
DUTIES AND RESPONSIBILITIES
The duties described below are indicative of what the Guest Services Representative may be asked to perform; other duties may be assigned:
- Provides internal and external customer service via telephone, email, and in person
- Processes payments for reservations, rentals, and fees for Parks and Leisure facilities; and generates necessary financial reports
- Inputs divisional work orders within the department
- Updates web pages in conjunction with Divisional Staff
- Reserves and coordinates personnel for specific City facilities and events
- Assists with preparing marketing materials for events, including press releases and sponsorship materials
QUALIFICATION REQUIREMENTS
To perform this job successfully, an individual must be able to perform each duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required at the time of hire or for the continuation of employment.
EDUCATION AND/OR EXPERIENCE
- High school diploma or equivalent
- Valid Texas Class C Driver’s License with acceptable driving record
- Minimum of two years administrative/customer service experience
- Experience with different computer software applications for word processing, spreadsheets, presentation, flyer making, etc.
SKILLS AND ABILITIES
- Ability to interact directly with the public utilizing excellent communication and customer service skills
- Ability to resolve citizen complaints and/or direct to appropriate staff
- Ability to design and produce reports and marketing materials
- Proficiency in internet research and utilization of Microsoft Word, Excel, PowerPoint, Publisher and InfoPath
- Ability to comprehend and retain City and State policies and legislation
LANGUAGE SKILLS
- Ability to communicate effectively with elected officials, staff, and the public
- Ability to comprehend, write and explain reports
MATHEMATICAL SKILLS
- Ability to calculate basic mathematical calculations, without the aid of a calculator
