General Description of the Position
Performs various clerical duties relating to the receipt, retention, and retrieval of records of Fire, Law Enforcement, Emergency Medical, and any other public safety-related organization served by the Galesburg Police communications and Records system. Assists with receptionist duties and incoming telephone requests (emergency and non-emergency) for public safety services
Essential Duties of the Position
- Receives, catalogs, files retrieves, and disseminates documents (reports, drawings/diagrams, photographs) created during the course of service provided by Fire, Law Enforcement, and Emergency Medical Services agencies and ensures that all such documents are available, with approval, for public, media and internal consumption.
- Assists with the operation of various electronic telecommunications and data communications systems, TDD devices for the deaf, pager system, the 24-hour tape system, and Local Area Network computer systems.
- Assists with the monitoring of various Public Safety Building alarm systems and provides necessary support to insure proper response is initiated as a result of those alarm system activations.
- Uses an internal paging system to contact Public Safety personnel when not at assigned extensions.
- Immediately directs emergency requests for service for the City/County to the Communications Center.
- Receive and screen visitors entering the lobby of the Public Safety Building. Provide needed information and/or refer to appropriate personnel.
- Provides routine information concerning Public Safety and City/County business or refers to appropriate office/personnel.
- Provides various public services such as registration of bicycles, issuance of taxi permit applications, making insurance form copies, completing verification letters, taking vacation check information, and providing personnel record checks for various agencies.
- Assists with the maintenance of computerized/manual records of all warrants, wanted/missing persons, stolen items, and orders of protection.
- Assists with building security by allowing only authorized individuals’ access through the secured doorways to the main operating areas of the Public Safety Building.
- Receives incoming mail from the post office and the United Parcel Service.
- Coordinates all aspects of the annual sale of surplus City-owned properties.
Education and Experience
- High School diploma or equivalent.
Work Experience Required
- Exposure to public service activities through personal and/or telephone contact as well as previous experience with a computer keyboard, typewriter, basic office procedures, and equipment desired.
Personal Qualifications and Ability
- Requires the ability to think clearly and act quickly in emergency situations.
- Requires the ability to communicate with the public in a courteous, concise manner in stressful situations.
- Requires basic skills in the operation of a typewriter, computer keyboard, multi-button/terminal telephone equipment, and standard office equipment.
