POSITION SUMMARY:

The Animal Medical Coordinator serves as the primary administrative resource for the Animal Medical Department, ensuring the efficient coordination of daily medical operations in support of the shelter's mission to provide high-quality, compassionate care to animals. This position oversees departmental scheduling, inventory management, medical record administration, purchasing, and customer service while supporting clinical operations and regulatory compliance. The Animal Medical Coordinator plays a key role in maintaining effective communication, operational continuity, and collaboration across shelter departments to ensure the delivery of efficient and effective veterinary services.

JOB DUTIES:

ESSENTIAL DUTIES:

Works under the direct supervision of the Shelter Veterinarian and Director.

Coordinates and oversees the daily administrative and operational functions of the Animal Medical Department to ensure efficient workflow, high-quality patient care, regulatory compliance, and exceptional customer service.

Manages Animal Medical Department administrative functions, including staff scheduling, payroll, recruitment support, and coordination of contract veterinary personnel. Includes developing and maintaining relationships with veterinary contractors.

Reviews, reconciles, and submits to Director invoices related to contract veterinary services and Animal Medical Department purchases in accordance with City purchasing procedures.

Assists in overseeing tasks such as but not limited to developing/updating AMD SOPs and training procedures, maintaining AMD equipment, and ensuring AMD cleanliness." Also, monitoring temperatures in all areas where medication and vaccines are stored.

Ensures the accuracy, completeness, and integrity of all medical records, including surgical documentation, controlled substance records, diagnostics, laboratory results, and electronic medical record entry.

Maintains all controlled substance inventories and documentation in compliance with applicable federal, state, DEA, and New Mexico Board of Veterinary Medicine regulations.

Maintains inventory of pharmaceuticals, medical supplies, and AMD operational equipment; establishes minimum inventory levels; coordinates purchasing; and maintains medical supply vendor relationships, as well as purchasing records to support budget management and operational continuity.

Provides leadership in customer service by ensuring timely, professional, and compassionate communication with internal team members and external customers regarding medical services and patient care.

Assists veterinary staff with surgical and medical procedures as needed, including patient preparation, surgical pack preparation, recovery monitoring, and other clinical duties within scope of training.

QUALIFICATIONS:

This position is subject to the City of Farmington's Drug and Alcohol Testing Policy which includes: pre-employment testing, post-accident testing, random testing, reasonable suspicion testing, return to duty testing, and follow-up testing.

Associates degree required; bachelor's preferred.

Valid driver's license with acceptable driving record for the past three years or state of

current residency.

Excellent written and verbal communication skills.

Demonstrated organizational and time-management skills with the ability to prioritize competing demands in a fast-paced environment.

Ability to maintain accurate records while performing high-volume data entry.

Ability to meet deadlines.

Ability to establish and maintain effective working relationships with other team members, supervisors and the public.

Ability to work under stressful situations and handle them appropriately and effectively.

Knowledge of veterinary medical terminology and shelter medicine practices preferred.

Proficiency with Google Workspace, Microsoft Office Suite and electronic medical record systems preferred.

Ability to maintain confidentiality and exercise sound judgment.

Ability to cope with emotional stress of euthanasia and medical deaths.

Ability to exercise sound judgment in evaluating situations and in making decisions.

Ability to follow verbal and written instructions and directions as set forth by the shelter veterinarian and/or the director.

TOOLS AND EQUIPMENT USED:

Animal capture equipment, chemicals associated with animal medical department cleaning materials, medical equipment such as gas anesthesia, apnea monitor, recovery equipment, needles and syringes, surgery tables and lights, blood chemistry machines, microscope, otoscope, dental instruments, IV equipment.
