Job Summary
The Administrative Assistant performs a variety of clerical, purchasing, data entry, and data collection tasks to enhance the organization's efficiency and viability.
Job Responsibilities
- Greets and directs visitors and clients.
- Answers multi-line phone and transfers calls, screening when necessary.
- Familiarity with city, county, and state jurisdictions.
- Maintains filing systems as directed.
- Steps in to perform word processing and database-related clerical tasks.
- Scanning and filing all supporting documents.
- Order/Track Supplies.
- Submit requisitions while following proper purchasing procedures.
- Purchase Order recordkeeping and tracking.
- Reconciling purchase orders and invoices.
- Retrieves information as requested from contracts, records, email, minutes, and other related documents.
- Assist with a variety of budget-related tasks.
- Performs tasks for the Director and Deputy Director as needed.
- Performs backup duties for the Executive Assistant.
- Responds to and resolves administrative inquiries and questions.
- Perform all other related duties as assigned.
Knowledge, Skills and Abilities
Skills
- Excellent interpersonal and customer service skills.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Word and Excel skills.
- Proficient in Microsoft PowerPoint and other presentation-style platforms.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems, such as recordkeeping and filing.
- Ability to work independently.
- Ability to collaborate with staff from various departments.
Education
- High School Diploma required
- Associates Degree preferred.
Experience
- Two (2) year of professional administrative experience required.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
