General Statement of Duties

 

Performs a variety of administrative, customer service and office management responsibilities in support of the Parks and Recreation department functions.

 

                                                   Distinguishing Features of the Class

 

An employee in this class performs customer service and administrative support duties for the Parks and Recreation Department. Work involves greeting the public; assisting patrons with program registrations, memberships, and facility reservations in person, by phone, and by email; collecting fees and issuing receipts; maintaining accurate records; and providing general information regarding department programs and services. Additional duties may include assisting with promotional materials, updating department information systems, and supporting special events and daily office operations.

 

Work involves frequent interaction with the public and requires tact, courtesy, and effective communication skills. Work is performed under the supervision of a department head and is evaluated based on accuracy, customer service, and overall effectiveness of assigned duties.

 

                                                           Duties and Responsibilities

 

Essential Job Tasks

 

 Performs customer service functions in person, by phone, and by email; greets visitors to the recreation center; provides information and assistance regarding department services, creating and renewing annual memberships, program registration, activities, procedures, fees, and other issues; and sells and processes recreation center memberships 

Accepts program registrations; assists visitors with registration processes; receives and processes program fees and issues receipts. 

Manages Park reservations; explains rental policies, procedures and fees. Schedules and processes park and field reservations; collects rental payments; updates and maintains reservation and rental calendars. Creates reservation signs. 

Receives citizen complaints and concerns resolve problems or complaints without management assistance or refers to management/appropriate individual when needed. 

Collects fees for recreation center’s programs and rentals. Assist in planning special events and attend events as department representative. 

Properly performing open and closing procedures and understanding how to operate gym and facility controls when needed be.

Knowledge, Skill, and Abilities

Considerable knowledge of department operations and functions.  

Ability to understand and utilize information technology including specialized recreation software, word processing, database management, spreadsheet design and usage, and other related resources.  

Skill in internal and external customer service excellence, problem-solving, teamwork and collaborative conflict resolution.  

Ability to plan and organize work for efficient processing, set and follow effective work priorities and meet established deadlines. 

Ability to handle multiple priorities utilizing sound judgment and based on knowledge of departmental issues and needs. 

Ability to deal tactfully and courteously with the public by answering questions and handling different complaints.

Ability to communicate effectively in person and by telephone.  

Ability to gather, synthesize and compile technical information on departmental programs and create well organized documents.  

Ability to enter data accurately and at the speed required by the position and to proof own work.  

Ability to arrange and place records, reports and files into a proper sequence and develop computerized or paper systems for easy retrieval and storage of departmental records.  

Ability to establish and maintain effective working relationships with the general public, supervisor, City officials, and employees.

 

Physical Requirements

Must be able to physically perform the basic life operational support functions of standing, walking, fingering, talking, hearing, and repetitive motions. 

Must be able to perform sedentary work exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. 

Must possess the visual acuity to compile and compute data and statistics, operate a computer terminal, proofread materials, and do extensive reading. 

 

Desirable Education and Experience

High school diploma or GED required; supplemented by customer service, office administration, recreation programming, or related experience preferred; or an equivalent combination of education and experience.
