Position Details
This position will support the Equity, Engagement, & Outreach office during Spring/Summer 2026 by helping plan, coordinate, and execute the Juneteenth and Multicultural Festivals in June and July, respectively.
Primary Duties
This role is responsible for the following duties to support Juneteenth (June 21, 2026) and Multicultural Festival (July 12, 2026) for 2026.
- Project planning and management: including establishing project timelines and milestones, facilitating meetings and maintaining team coordination, tracking budget and vendor contracts, and managing internal/external approvals and communications.
- Event concept and program design: including developing the agenda for each event and defining key takeaways, identifying speakers/facilitators/presenters, and ensuring content aligns with community needs, equity priorities, and accessibility standards.
- Logistics and event operations: including securing the venue and room layouts, managing equipment needs, arranging vendor services, day-of coordination with staff and volunteers, and implementing accessibility accommodations to include ADA and language access.
- Outreach, communications and engagement: including developing an outreach and communication plan, producing event materials, conducting targeted outreach, coordinating relationship-building opportunities with providers, and managing event updates.
- Event implementation (day-of): including overseeing onsite and/or virtual event operations, managing registration and participant flow, supporting presenters and partner teams, troubleshooting logistics and ensuring safety, and monitoring accessibility.
- Post-event evaluation and close-out: including sending thank you messages to participants, partners, and speakers, collecting participant feedback and conducting an evaluation, reconciling the budget and closing contracts ensuring final payments are issued, producing a final event summary, and archiving materials for future reference.
