Job Overview
We are seeking a friendly, professional, and organized Receptionist to serve as the first point of contact for our organization. In this role, you will oversee front desk operations, answer and direct multi-line phone calls, greet visitors, and provide exceptional customer service. The ideal candidate is detail-oriented, dependable, and thrives in a fast-paced environment while maintaining a welcoming and professional atmosphere.
Responsibilities
- Greet and welcome patients, visitors, and guests in a professional, courteous, and friendly manner.
- Answer, screen, and route incoming calls using a multi-line phone system while maintaining excellent phone etiquette.
- Schedule appointments, manage calendars, and assist with patient or client check-in and check-out processes.
- Respond to emails and manage incoming and outgoing mail, packages, and other correspondence.
- Maintain accurate records through data entry, filing, and document management while ensuring confidentiality.
- Perform general administrative and clerical duties, including scanning, copying, proofreading, and preparing documents.
- Assist with office operations, including ordering and maintaining office supplies and supporting day-to-day administrative needs.
- Utilize Microsoft Office Suite, Google Workspace, and other office software to complete daily tasks efficiently.
- Support basic bookkeeping or payment processing, as applicable.
- Provide prompt, professional customer service by responding to questions and directing inquiries to the appropriate staff.
- Maintain a clean, organized, and welcoming reception area.
- Perform other administrative duties as assigned to support efficient office operations.
Preferred Qualifications:
- Prior office or administrative experience required; front desk or receptionist experience is strongly preferred.
- Demonstrated ability to manage multi-line phone systems professionally, courteously, and efficiently.
- Bilingual proficiency is highly desirable and valued in serving a diverse patient and visitor population.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and accurate data entry.
- Previous experience as a medical or dental receptionist is preferred but not required.
- Personal assistant, office management, or related administrative experience is considered an asset.
- Strong organizational, multitasking, and time management skills, with the ability to prioritize competing responsibilities in a fast-paced environment.
- Excellent interpersonal, communication, and customer service skills with a professional and compassionate demeanor.
