Job Overview
We are seeking a dynamic and friendly Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. Responsibilities

  • Greet visitors warmly and direct them appropriately, ensuring a professional and courteous experience at all times
  • Manage multi-line phone systems with excellent phone etiquette, screening calls and transferring them efficiently
  • Handle incoming and outgoing correspondence, including emails, mail, and packages using Google Workspace and Microsoft Office tools
  • Maintain organized filing systems, data entry logs, and accurate records for easy retrieval and compliance purposes
  • Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
  • Perform clerical duties including proofreading documents, managing office supplies inventory, and assisting with general administrative support
  • Provide customer support by addressing inquiries promptly and professionally, ensuring high levels of customer satisfaction
Qualifications:

Experience

  • Prior office experience or administrative experience is essential; familiarity with front desk operations is highly preferred
  • Proven ability to manage multi-line phone systems with professionalism and efficiency
  • Bilingual skills are a strong plus to assist diverse clients and visitors effectively
  • Demonstrated proficiency in computer literacy, including Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tasks
  • Experience in medical or dental receptionist roles is advantageous but not required; strong organizational skills are necessary for success in this role
  • Personal assistant or office management experience will be considered a valuable asset
  • Excellent time management skills combined with the ability to prioritize tasks in a fast-paced environment
