Join the City and County of Broomfield's Public Works Administrative team as an Admin Support IV and help support the Public Works Department. If selected, you will leverage your required six years of administrative support experience to perform complex clerical and administrative tasks, ensuring the smooth operation of our services. This vital role involves managing records, processing registrations for Broomfield’s Fleet, coordination of emissions testing, performing bookkeeping, processing invoices and purchase orders, and acting as the departmental information resource, providing functional guidance to other clerical staff. If you possess thorough knowledge of modern office practices and accounting principles, and are skilled at exercising moderate independent judgment to solve problems, apply your expertise to support the team that keeps Broomfield's essential Public Works teams running.

  • Performs complex receptionist/clerical/administrative tasks that may include providing customer assistance and information, data entry, cashiering, bookkeeping 

  • Answers incoming phone calls, screen inquiries, route calls or visitors to appropriate departments, and manage customer appointments and meeting schedules.

  • Arranges appointments, assists in scheduling meetings, greets visitors, receives and responds to correspondence, and handles incoming and outgoing mail in an organized manner.

  • Performs administrative support tasks including typing, filing (physical and electronic), copying, and preparing reports and presentation materials.

  • Maintains filing and record systems, assists in tracking inventory, activity reports, receipts, memberships, and customer accounts, among other records.

  • Operates multi-line phones, printers, copiers, and basic computer applications (word processing, spreadsheets) to support daily office operations.

  • Prepares purchase orders and processes invoices as assigned.

  • Relieves a major department/division manager or other officials of administrative details and assists with project work. 

  • Provides functional guidance as a lead to receptionist/clerical/administrative employees. 

  • Acts as the departmental information resource, resolving problems independently, and may coordinate and review work of department administrative staff. 

  • May report to department/division head and conduct studies, analyses, and research on a variety of topics. Keeps operational records and prepares required reports. Assists departmental staff in preparing and coordinating reports as needed.

  • May be required to work overtime

Education

  • High school graduate or GED equivalent - required.

Experience

  • 6 years of administrative support experience in an office setting - required.

Years of related experience may be substituted for required education, however  education cannot be substituted for the necessary work experience. Candidates must meet the minimum required years of work experience.

NECESSARY SPECIAL REQUIREMENTS (in addition to above requirements):

New hires must, as a condition of employment, pass the following pre-offer and post-offer/hire processes: in-person or virtual interviews, reference checks, and background checks, which may include local police check and sex-offender registry.

Salary : $61,797 - $83,595
