Job Summary
We are seeking an energetic and detail-oriented Community Services Administrator who will support the General Manager in daily administration, resident services, lifestyle coordination, and operational needs of a planned HOA community under development. This role assists with homeowner communication, community inspections, covenant compliance support, event coordination, vendor follow-up, and association documentation while helping provide a positive and professional resident experience.

Duties

  • Assist the General Manager with the day-to-day operations and administration of the Association.
  • Respond to homeowner inquiries in a professional, courteous, and timely manner.
  • Conduct routine community inspections to monitor maintenance standards and covenant compliance under the direction of the General Manager.
  • Document inspection findings and coordinate follow-up actions as directed.
  • Assist with covenant enforcement documentation and resident follow-up under the direction of the General Manager.
  • Support architectural review processes as directed.
  • Assist with vendor coordination and verify completion of contracted services.
  • Support work order tracking and follow-up.
  • Maintain organized Association records and documentation.
  • Process invoices and assist with tracking operational expenses in accordance with company procedures.
  • Assist with preparation of Board meeting materials and management reports.
  • Plan, coordinate, and execute community events and social activities as approved by the General Manager.
  • Develop creative programming that encourages resident participation and builds community relationships.
  • Coordinate event logistics, including vendors, contracts, setup, cleanup, and post-event evaluation.
  • Track attendance, participation levels, and resident engagement.
  • Promote events through Association communication channels.
  • Serve as a visible, welcoming, and professional presence throughout the community.
  • Foster positive relationships with residents while maintaining appropriate professionalism and boundaries.
  • Assist with amenity reservations and scheduling.
  • Support volunteer committees and community engagement initiatives as directed.
  • Assist with annual lifestyle budget preparation and monitor spending within approved budgets.
  • Maintain calendars, event schedules, inspection logs, and operational reports.
  • Support community milestones and transition activities as assigned.
  • Perform duties in accordance with Association governing documents, company policies, developer expectations, and applicable procedures.
  • Work closely with Lifestyle, Administrative, Maintenance, and Corporate Management staff.
  • Work a flexible schedule, including occasional evenings and weekends for community events, Board meetings, town halls, or other business needs.
  • Ensure all overtime or schedule changes are approved in advance in accordance with company policy.

Job Requirements:

  • 2–4 years of HOA, property management, hospitality, event planning, administrative support, or related experience preferred.
  • Experience in master-planned communities is a plus.
  • Florida CAM License preferred but not required. If the employee does not hold a Florida CAM License, CAM-related duties must be performed under the direction and supervision of the General Manager.
  • Strong customer service and interpersonal skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Ability to maintain professionalism, confidentiality, and sound judgment when interacting with residents, vendors, Board members, and team members.
  • Proficiency in Microsoft Office and Association management software.
  • Ability to work independently while collaborating closely with the General Manager in a growing development environment and within company policies.
  • Flexible availability, including occasional evenings and weekends, with strong follow-through.
  • Comfortable in a structured, developer-led, growth-oriented community environment.
  • Attention to detail, initiative, adaptability, and a team-oriented approach.

Physical Requirements

  • Ability to sit, stand, and walk throughout the workday while performing administrative and community support duties.
  • Ability to walk community grounds, inspect common areas, attend outdoor events, and move between indoor and outdoor work areas.
  • Ability to occasionally assist with event setup, cleanup, and movement of event-related materials, with or without reasonable accommodation.
  • Manual dexterity to operate a computer, phone, and office equipment.
  • Ability to communicate effectively in person, by phone, and in writing.
  • Exposure to outdoor weather conditions during community inspections and community events.
  • Ability to perform the essential functions of the position, with or without reasonable accommodation.
