Summary
The Document Control Specialist is responsible for managing bank documents and document imaging system while also ensuring the accuracy, quality, integrity and safeguarding the information that is contained within. They are responsible for adhering to the bank’s document lifecycle procedures and maintaining a document retention schedule.
The Document Control Specialist should have a broad understanding of different document and image formats and file format conversion processes for different files. Knowledge of Microsoft Windows file systems is required to understand bank digital filing practices.
Essential Duties and Responsibilities

Responsible for reviewing documents for accuracy, completeness, and compliance to ensure internal procedures have been adhered to.
Monitor core data imports and document upload services to ensure proper data flow.
Create and maintain forms used within the bank to monitor and manage service offerings.
Configure document imaging system to provide notifications to team members to ensure proper workflow procedures have been followed.
Assist various departments with document imaging needs such as troubleshooting and training to ensure document accuracy and to improve the document workflow.
Work with other departments within the bank to implement and manage scan plans on MFPs.
Annually update the banks’ document retention program by comparing it to federal and state retention guidelines as well as working with bank management to determine document retention requirements.
Develop reports using the bank’s core data to analyze and present key details.
Configure, manage, and periodically review employee access and document permissions.
Provide recommendations and reports to management on status of retention program and any enhancements that should be made.
Manage branch orders for supplies including order tracking, problem resolution, and assignment of cost center.
Performs basic helpdesk functions such as password resets, account provisioning, and technical assistance to resolve hardware/software issues.

Education and / or Experience
Associate’s degree preferred or High school diploma or general education degree (GED); and one to three years related experience and / or training; or equivalent combination of education and experience.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Mathematical Skills
Ability to add, subtract, multiply, and divide using whole numbers, and decimals. Ability to compute rate, ratio, and percentage and to create and interpret bar graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving concrete variables in some non-standardized situations.
Computer Skills
To perform this job successfully, an individual should have a thorough knowledge and understanding of computers including the Microsoft Office Suite.
Ability to understand basic programming logic such as JavaScript.
