About the Role
The Patient Service Representative serves as the first point of contact for patients, physicians, and visitors, ensuring a welcoming and efficient front-office experience. This role manages the full patient check-in process, including completing medical intake, collecting insurance and ID documentation, updating demographics and HIPAA/financial forms, and accurately processing payments. The representative is also responsible for building and maintaining accurate paper and electronic medical records, scheduling and confirming appointments, and handling incoming calls and emails professionally. Additional duties include keeping the waiting area tidy, assisting with chaperone duties during exams, and supporting the office team with clerical tasks to keep daily operations running smoothly.
Responsibilities
- Greets visitors, physicians, and patients in a friendly professional manner and directs them appropriately.
- Monitors and maintains proper daily practice flow to ensure an efficient patient experience.
- Informs patients of delay in physician schedules.
- Assists the patient with the completion of the medical intake, uploads a copy of their insurance information and government-issued ID card.
- Responsible for patient check-in.
- Updates patient information including demographics, insurance, HIPAA forms and financial forms.
- Accurately recording and collecting any payment and clearly explaining the financial obligations to the patient.
- Creates and assembles both the paper and electronic medical record chart to store and upload all documents of the patient, ensuring that information is inputted and scanned properly.
- Promptly answers and responds to telephone and office emails, screens telephone callers in a pleasant and professional manner; handles calls; takes messages or directs callers to the appropriate person or area.
- Schedules appointments and follow up visits as needed according to specialty guidelines.
- Confirms future appointments as needed.
- Maintain the waiting areas in a neat and tidy condition.
- Performs any clerical duty and task that is requested of his or her assistant/manager to improve provider productivity, patient care, and efficient office flow.
- May be responsible for chaperone duties during patient exams as needed.
- Other duties as required.
Qualifications
- Must be able to work evenings (as needed)
- Must have customer services experience
- Basic understanding of medical terminology (preferred but not mandatory)
- Experience working in medical setting (preferred but not mandatory)
