ABOUT THE DISTRICT:
The Wilkinsburg School District is a small, urban public school district serving approximately 400 students. The district operates two elementary schools, offering education from Pre-Kindergarten through Sixth Grade. Through an educational partnership, students in grades 7–12 attend Pittsburgh Public Schools, gaining access to expanded academic programs, extracurricular activities, and support services. The Wilkinsburg School District is dedicated to advancing academic excellence and promoting the social and emotional well-being of all its students.
ABOUT THE POSITION:
The position of school secretary is a 12-month position in the district and an integral part of the district's administrative team. The secretary's primary responsibility is to provide administrative support to school principal and/or other district administrators. The general secretary works in a demanding environment and must be able to type, file and run office equipment, have excellent administrative, computing/technical and communication skills.
The school secretary is a member of the Wilkinsburg Educational Support Personnel Association, ESPA-PSEA-NEA, and is subject to the conditions of employment as outlined in the most recent union agreement. The secretary reports directly to the building administrator and works closely with all administrators, teachers, students, and parents/guardians in the district.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
● Open/Close the Main Office of the Building.
● Maintain daily office business - teachers, parents, and students.
● Maintain correspondence of phone, email, and intercom.
● Attendance: daily entries, excuses, homework for absentees, end-of-year reports, and substitutes (time sheets).
● Coordinate the student information system with the Principal(s), Guidance, and the Records Management Secretary.
● Assist Principal(s) with discipline records in student information system including: detention/suspension letters, detention lists, homework, requests for suspended students.
● Cover any supervision of students throughout the building, as appropriate and applicable.
● Maintain accurate student files, including, but not limited to, creating and eliminating student files (i.e., file academic reports and warning letters; maintain student bills, scan documents as needed for efficient storage transition from year to year; transition withdrawals; and the like).
● Coordinate paperwork for transportation of field trips and special bus requests with the Transportation Department, as applicable.
● Maintain and print student schedules, including homerooms and class schedules, as applicable.
● Complete miscellaneous reports, updates, and correspondence.
● Create, compile, and disseminate correspondence to teachers, parents, and students including but not limited to academic, extra-curricular, and special programming/events.
● Coordinate, organize, and schedule outside personnel, agencies, and school visitors.
● Manage the ordering and inventory of general supplies and curriculum at the direction of the Building Principal.
● Complete beginning and end-of-year reporting as necessary (i.e. bell schedules, attendance, schedules, calendars, retention/promotions, enrollment, local/stat/federal data, etc.).
● Communicate effectively with all members of the District and Community.
● React to change productively and handle other tasks as assigned.
● Maintain confidentiality.
● Type forms, letters, orders, correspondence, etc.
● Receive telephone calls, accept messages, relay information, and make appointments.
● Operate office machines and equipment.
● Receive, sort and distribute correspondence.
● Initiate and maintain forms, reports, records, requisitions, orders, inventories, accounts systems, etc.
● Register, withdraw, transfer students, and maintain student records and attendance in the District student information system.
● Post and maintain required bulletin board materials.
● Cover the telephone at all times.
● Demonstrate professionalism when answering the phone and speaking to the public.
● Support the mission, vision, and belief statements of the District.
● Support with Chromebook management including tracking accounting asset tag numbers, student distribution, etc.
● Any other responsibilities or duties assigned by the Building Principal and/or supervisor.
ESSENTIAL JOB SKILLS:
● High School Diploma; Associate's Degree preferred.
● Two years of successful experience as an administrative assistant preferred.
● Demonstrate an average working knowledge of technology used by the District including Microsoft Office suite, Google Workspace suite, etc.
● Demonstrate strong communication skills both verbal and written.
● Ability to work well with others and have positive attitude for customer service.
● Ability to organize and set priorities while working effectively in a school office setting characterized by frequent interruptions.
● Ability to multi-task and exercise good judgment while working in a dynamic environment.
● Ability to respond sensitively to common inquiries or complaints.
● Ability to work independently and be self motivated.
● Ability to obtain all clearances and requirements set forth by federal, state, and local regulations.
