The Service Administrator plays a critical role in maintaining Cigarette Racing's high standards of customer satisfaction by managing the administrative and logistical aspects of our Service and Parts operations. This role ensures efficient coordination between clients, the service department, and the parts team, contributing to the seamless delivery of world-class support for our performance vessels. The Service Administrator will report directly to the Service Manager, providing essential support to streamline operations and enhance departmental efficiency.

This role ensures efficient coordination between clients, the service department, and the parts team, contributing to the seamless delivery of world-class support for our performance vessels. The Service Administrator will report directly to the Service Manager, providing essential support to streamline operations and enhance departmental efficiency.
Essential Duties And Responsibilities
- Serve as the primary point of contact for clients regarding service appointments, parts inquiries, and repair updates, providing professional and timely communication.
- Manage all incoming service phone calls, efficiently addressing inquiries, troubleshooting initial concerns, and directing calls to the appropriate technical personnel.
- Schedule and coordinate service appointments, maintenance, and warranty work, managing the service department calendar efficiently.
- Create and process vessel inspection, work orders, invoices, and payment records with high accuracy.
- Maintain comprehensive and organized customer service records, documentation, and quality reports.
- Collaborate with the parts department to ensure the availability of necessary components and coordinate spare part inventory with purchasing.
- Assist the Service Manager in troubleshooting initial client concerns and direct them to the appropriate technical personnel.
- Generate service activity reports and track key metrics for management review, compiling information for the Service Manager.
- Provide general administrative support to the Service Manager and the service team as needed.
- Ensure compliance with all company safety procedures and industry standards (e.g., ABYC, NMMA) in administrative processes.
Requirements
- Proven experience in a service administration, customer service, or administrative role, preferably within the marine, automotive, or luxury goods industry.
- Strong knowledge of administrative processes and documentation management.
- Experience with CRM/ERP software and Microsoft Office Suite is essential.
- Familiarity with marine terminology or the ability to quickly learn industry-specific vocabulary is a plus.
- Team-oriented with strong communication and problem-solving skills.
- Ability to lift and move up to 25 lbs. occasionally.
- Bilingual, English and Spanish.
